We're seeking a collaborative and highly efficient Office Manager to join our team at our Waterloo premises. As part of a small team, you'll have every opportunity to get involved in a wide range of activities, with the main focus on facilities and office management. You'll have customer service or office management experience, ideally in retail, and you will have a proactive approach to ensuring that everything runs smoothly on our premises, fostering a welcoming environment for staff and visitors alike. As it's an onsite role, you'll need to be on the premises five days a week.
You'll be a natural communicator, warm, professional and composed, and someone who takes real pride in ensuring that our workplace runs smoothly and is maintained to a high standard at all times.
Duties
- Organising maintenance, liaising with suppliers and contractors as needed and ensuring that our facilities and equipment are kept in good order
- Assisting with the Flower School set up to maintain a tidy and welcoming environment for students
- Oversee all inventory levels for floristry (e.g. packaging materials) and non\-floristry (e.g. office supplies), ensuring sufficient stock of materials and equipment
- Ordering supplies, ensuring we have sufficient systems in place for re\-ordering and that there is a cost\-effective approach
- Booking of freelancers as required
- Assisting with HR and Finance administration
- Arranging appropriate storage and a good system of organisation for supplies and equipment in the studio, office and school areas
- Ensuring that health and safety policies and practices are up to date and are effectively communicated to the team to keep everyone safe. This may include arranging for external expertise to be brought in where needed to conduct health and safety reviews and recommend improvements to our processes.
- Office and facilities management experience
- Experience in health and safety procedures and processes including risk assessments
- Exceptional organisational and planning skills with keen attention to detail
- Strong communication skills, written and listening
- Proficiency in office software such as Microsoft Office Suite
- A common sense approach to resolving issues and dealing with these quickly and efficiently
