Griffin’s Auctioneers and Valuers is a leading auction house based in the Midlands offering a friendly and approachable valuation and auction service for all antiques and collectables.

We’re now seeking an Office \& Accounts Manager, a brilliantly organised, detail\-oriented professional who will keep our day\-to\-day finance, HR, and administrative operations running efficiently and harmoniously. This is a multifaceted role, ideal for someone who thrives on variety, responsibility, and working as a key part of a close\-knit team.
This is a part\-time role offering flexible hours. We may consider a full time position for the right individual.
Key Responsibilities:
Finance \& Accounts Management
- Oversee and maintain accurate day\-to\-day bookkeeping in Quickbooks.
- Process and reconcile purchase and sales invoices, ensuring accuracy and timeliness.
- Issue customer invoices, statements of account, and oversee credit control to secure timely payments.
- Prepare and submit VAT returns and monthly payroll, verifying timesheets and employee data.
- Maintain supplier and subcontractor records; resolve any invoice or payment queries. Reconcile bank accounts, credit cards, and petty cash balances.
- Support monthly, quarterly, and year\-end accounts with external accountants.
- Oversee company insurance renewals and associated documentation.
- Support onboarding and offboarding, including checking contracts and offer letters. Maintain confidential employee records, tracking holidays, sickness, and absences. Manage the company’s holiday and absence calendar.
- Support performance reviews, training coordination, and employee communications. Liaise with our external HR advisor to keep HR policies and handbooks up to date, ensuring compliance with UK employment law. Act as first point of contact for day\-to\-day HR and payroll queries.
- Collaborate with our external HR advisor for more complex or sensitive matters.
- Manage the smooth day\-to\-day running of the office, supplies, and equipment.
- Be the first point of contact for customers and service providers, handling calls and emails professionally.
- Clerking our live hammer auctions. Full training will be provided.
- Preparing probate valuation documents and liaising with solicitors.
- Support Directors with meeting coordination, minute\-taking, and preparation of financial or board reports. Maintain manual and digital filing and documentation systems, ensuring GDPR compliance.
- Support the senior leadership team in ad hoc administrative and operational tasks.
- Assist with website updates.

Essential Skills \& Experience
- Proven experience in accounts, bookkeeping, or office management.
- Solid understanding of UK payroll, VAT, and basic HR processes.
- Strong IT literacy, particularly in Microsoft Office (Excel, Word) and Quickbooks.
- Excellent organisation, time management, and communication skills. High attention to detail, accuracy, and confidentiality.
- Comfortable working independently with a positive, can\-do attitude.
- AAT Level 2\+ or equivalent bookkeeping qualification.
- Experience working in a small business or fast\-growing start\-up environment.
- Understanding of GDPR and right\-to\-work compliance.
