We are seeking an organised Office Manager/Finance professional to join our team and oversee the smooth operation of our office environment while managing essential financial tasks. Responsibilities
- Manage daily office operations, including clerical tasks, supply ordering, and facility maintenance to ensure a productive work environment.
- Oversee financial processes using SAGE including invoicing, expense tracking, and payroll support.
- Finance
- Manage day\-to\-day bookkeeping and financial administration.
- Process sales and purchase invoices and maintain accurate financial records.
- Manage supplier payments, customer receipts and company expenses.
- Complete regular bank and account reconciliations.
- Monitor cash flow and highlight any potential issues or opportunities.
- Manage credit control and follow up outstanding customer payments.
- Prepare and/or coordinate VAT returns.
- Coordinate payroll, pensions and related administration.
- Assist with month\-end processes and prepare financial reports for management.
- Monitor expenditure against budgets and investigate significant variances.
- Support budgeting and forecasting.
- Liaise with external accountants and provide information required for year\-end accounts and other financial requirements.
- Maintain appropriate financial controls and ensure there is a clear audit trail.
- Identify errors, discrepancies or unusual transactions and ensure they are investigated promptly.
- Handle human resources functions such as onboarding new employees, maintaining personnel records, and supporting employee relations.
- Maintain professional phone etiquette when communicating with clients, vendors, and team members to project a positive company image.
- Organize meetings, prepare agendas, and manage schedules to optimize team productivity.
- Ensure compliance with organizational policies and procedures while supporting overall office administration.Experience
- Proven experience in office management or administrative roles with demonstrated supervisory responsibilities.
- Strong proficiency in SAGE or comparable for financial management.
- Experience in human resources functions such as recruitment, onboarding, and employee recordkeeping.
- Excellent communication skills with the ability to interact effectively across all levels of the organization.
- Exceptional organizational skills with attention to detail in managing multiple tasks simultaneously.
- Previous clerical or administrative experience within an office setting is highly desirable.
