Ashlings Legal is a modern and expanding law firm based in the heart of Manchester, providing expert legal advice across Commercial Property, Residential Conveyancing, Immigration, Employment, Litigation, Wills \& Probate, and Private Client services.
As our firm continues to grow, we are looking for an exceptional Office Manager \& Personal Assistant to the Managing Partner to play a key role in the day\-to\-day running and future success of the business.
This is not a traditional administrative position.
We are seeking a highly organised, proactive and commercially minded individual who can support the Managing Partner, help drive business growth, manage office operations, oversee client onboarding and matter management, assist with billing and invoicing, support marketing initiatives, and undertake residential conveyancing post\-completion work.
The successful candidate will become an integral part of the leadership support function within the firm and will have genuine responsibility and influence over how the business operates.
The Role
Reporting directly to the Managing Partner, you will be responsible for ensuring the smooth and efficient operation of the firm while providing high\-level business and administrative support.

Key Responsibilities
Personal Assistant to the Managing Partner
- Managing the Managing Partner's diary, meetings and appointments.
- Monitoring and responding to emails and correspondence.
- Preparing reports, presentations, meeting notes and business documents.
- Assisting with strategic projects and business initiatives.
- Acting as a key point of contact for clients, suppliers and professional contacts.
- Supporting recruitment, onboarding and HR administration.
- Following up on actions arising from management meetings.
- Assisting with general executive and business support tasks.
- Overseeing the day\-to\-day running of the office.
- Managing office systems, procedures and administrative processes.
- Coordinating suppliers, contractors and service providers.
- Ordering office supplies and equipment.
- Liaising with IT providers and ensuring technology runs smoothly.
- Maintaining office records and filing systems.
- Assisting with compliance, health and safety and risk management procedures.
- Helping create and maintain a professional and welcoming office environment.
- Opening and managing new client matters.
- Maintaining accurate records on the firm's case management system.
- Monitoring workflows, deadlines and file progression.
- Preparing client care documentation and engagement letters.
- Liaising with clients and third parties regarding ongoing matters.
- Supporting fee earners across a variety of legal departments.
- Assisting with file closure and archiving procedures.
- Conducting client onboarding and file opening procedures.
- Completing AML and identity verification checks.
- Reviewing source of funds and source of wealth documentation.
- Ensuring compliance with SRA and anti\-money laundering requirements.
- Monitoring outstanding onboarding documentation.
- Maintaining compliance records and registers.
- Preparing and issuing client invoices.
- Assisting with credit control and payment chasing.
- Producing completion statements and financial documentation.
- Supporting fee earners with billing processes.
- Monitoring outstanding balances and reporting where required.
- Liaising with accountants and other external providers.
- Preparing and submitting SDLT returns.
- Managing Land Registry applications and registrations.
- Dealing with Land Registry requisitions.
- Preparing AP1 applications and post\-completion documentation.
- Liaising with lenders and third parties following completion.
- Ensuring all post\-completion matters are concluded efficiently and accurately.
- Supporting the firm's marketing and business development activities.
- Assisting with social media content and LinkedIn campaigns.
- Coordinating website updates and online content.
- Helping organise networking events, seminars and client events.
- Managing online reviews and reputation management.
- Assisting with marketing literature and promotional materials.
- Supporting initiatives to generate new business opportunities and strengthen client relationships.
You will be a highly organised and commercially aware professional who enjoys working in a busy legal environment and taking ownership of multiple responsibilities.
Essential Requirements
- Previous experience working within a law firm.
- Excellent administrative and organisational skills.
- Strong attention to detail.
- Ability to manage competing priorities and deadlines.
- Excellent written and verbal communication skills.
- Strong IT skills, including Microsoft Office.
- Professional and client\-focused approach.
- Ability to work independently and use initiative.
- Experience using legal case management systems.
- Previous experience as a Legal Office Manager, Practice Manager, Senior Legal Secretary, Executive Assistant or Legal Administrator.
- Conveyancing and post\-completion experience.
- Experience with client onboarding and AML procedures.
- Billing and invoicing experience within a legal environment.
- Marketing and business development experience.
- Knowledge of SRA compliance requirements.
