Position Overview
We are seeking an organized, proactive, and versatile Office Administrator to manage our daily office operations and ensure a smooth, efficient work environment. The ideal candidate is a master of multitasking who can handle traditional administrative duties while bringing specialized expertise in one of our key focus areas: Finance, Purchasing, or IT support.
Because we operate in a multilingual and international environment, excellent communication in English and Dutch is essential, while knowledge of Chinese is highly valued.
Key Responsibilities
General Office Operations (Core Duties):
- Manage office layouts, maintenance, supplies inventory, and coordinate with local Dutch utilities, building management, and external vendors.
- Organize company events, internal meetings, and travel arrangements for team members.
- Maintain physical and digital filing systems, ensuring compliance with local administrative regulations and company policies.
- If your background is in Finance:
- Assist with basic bookkeeping, invoicing, tracking receipts, and managing petty cash.
- Coordinate with the accounting team for monthly expense reports and payroll administration support.
- If your background is in Purchasing/Procurement:
- Source office equipment, software licenses, and external vendor services.
- Compare vendor pricing, negotiate contracts, and manage purchase orders (POs).
- If your background is in IT:
- Act as the first line of defense for basic office tech issues (setting up workstations, troubleshooting Wi\-Fi, printers, and software).
- Manage company asset tracking (laptops, screens) and onboard new hires regarding IT access/security protocols.
Language Skills:
- English: Fluent (written and spoken) for professional, internal, and international communication.
- Dutch: Professional proficiency (written and spoken) to confidently handle communication with local authorities, Dutch suppliers, and service providers.
- Chinese (Mandarin): Knowledge of Chinese is considered a strong plus and will be highly advantageous for coordinating with international stakeholders.
- Experience: 2\+ years of experience in office administration, operations, or a related coordinator role.
- Specialized Track: Proven background, degree, or certification in at least one of the following fields: Finance/Accounting, Supply Chain/Purchasing, or Information Technology (IT).
- Tech Savviness: High proficiency in MS Office (Word, Excel, PowerPoint) and Google Workspace. Experience with specialized software (e.g., accounting software, ERP systems, or IT helpdesk tools) is a plus.
- Soft Skills: Strong problem\-solving abilities, excellent time\-management, and a collaborative mindset.
