The Office Administrator will act as the central point of coordination in our Rotterdam office for organising and administering surveys for our clients in the Offshore and Marine sectors. You will manage scheduling of surveys, review and process survey reports, handle invoicing and maintain communication with clients and internal teams.
Please note: this is a part\-time position offering employment 2 \- 3 days per week.
What will you be doing?
- Book surveys promptly and accurately, liaising with surveyors and clients to confirm arrangements and all necessary information.
- Check and format written survey reports before they are issued to our clients.
- Prepare and send invoices to our clients.
- Monitor and manage the office inbox, ensuring that all enquiries are responded to and followed up in a timely manner.
- Answer telephone calls, providing callers with information or directing calls and queries as required.
- Log, process and escalate any client complaints to maintain a quality service standard.
- Act as the BHV (Bedrijfshulpverlening or Emergency Response Officer) for the Rotterdam office.
You will possess proven experience as an Office Administrator, Secretary, or similar. We are also looking for the following:
- High proficiency in Microsoft 365 systems such as Outlook, Word, Excel, Sharepoint, and Teams.
- Excellent command of the English language (speaking, reading and writing).
- Strong interpersonal skills within a collaborative environment
- Strong communication skills (written \& verbal) with the ability to handle client interactions confidently.
- Ability to work as part of a team and take accountability for individual responsibilities.
- Exceptional attention to detail and accuracy and strong organisational and time management skills.
- Experience of working within the Offshore or Maritime sectors is beneficial.
