Job Summary
We are seeking a highly organised and detail\-oriented Ocean Freight and Purchase Order Administrator to join our lmport department. The successful candidate will be responsible for managing the end\-to\-end process of ocean freight operations and purchase orders, along with assisting with order forecasting ensuring seamless coordination between suppliers, carriers, and internal departments. This role requires a strong understanding of supply chain management, logistics procedures, and relevant software systems to optimise efficiency and compliance within our organisation.

Salary Pro Rata for 3 days per week.

Responsibilities

  • Oversee and process purchase orders related to ocean freight shipments, ensuring accuracy and timely execution.

  • Coordinate with suppliers, freight forwarders, 3PL providers, and internal teams to schedule shipments and track progress.

  • Utilise transportation management systems, shipment documentation, and communication flows.

  • Monitor shipment status and resolve any issues related to delays, damages, or customs clearance.

  • Negotiate terms with carriers, suppliers, and logistics partners to optimise service levels.

  • Maintain detailed records of shipments, purchase orders, packing lists and related documentation for audit purposes.

  • Ensure adherence to supply chain standards and regulatory requirements throughout the shipping process.

  • Assist in updates with communications and shipment tracking updates.

  • Overseeing UK wholesale orders and managing the haulage and booking in.
Requirements
  • Strong understanding of supply chain logistics, including ocean freight operations and 3PL management.

  • Excellent organisational skills with high attention to detail for data entry and documentation accuracy.

  • Effective negotiation skills to secure favourable terms with carriers and suppliers.

  • Ability to work independently whilst collaborating effectively within a team environment.
