We are seeking a highly organised and motivated Medical Secretary to provide high\-quality administrative support to our specialty teams. The role involves delivering a comprehensive medical administrative service, including supporting clinical teams, managing patient\-related correspondence, and contributing to the smooth and efficient management of patient pathways.
Providing high quality administrative support to the Endocrinology and Diabetes service, ensuring timely and accurate communication for patients and clinicians. You will act as a key point of contact, handling correspondence, enquiries and documentation that supports safe and efficient patient care.
Working collaboratively with administrative colleagues and you may be required to support other specialties within the Directorate to ensure flexibility and continuity of service. You will uphold Trust values, maintain strict confidentiality, and contribute to a positive, patient\-centred experience.
You will be expected to manage your workload effectively, demonstrating excellent organisational skills while ensuring a high standard of patient experience at all times.
Flexibility is essential, as the role may require working across a range of specialties within the Directorate to meet service needs.
Main duties, tasks \& skills required

Providing comprehensive administrative support to the Endocrinology and Diabetes team, ensuring clear, timely, and accurate patient communication:
- Produce clinic letters and patient correspondence using Trust digital dictation systems, maintaining high standards of accuracy and prompt turnaround
- Manage incoming post, emails, and telephone enquiries, responding appropriately and escalating to clinical staff where required
- Support the smooth running of clinics by preparing documentation, results, and essential information for clinical teams
- Ensure clinic outcomes and follow\-up actions are processed promptly to maintain efficient patient pathways
- Maintain accurate, organised, and up\-to\-date patient records in line with Trust policies and standards
- Prioritise and manage your own workload effectively in a busy environment
- Liaise with patients, carers, and healthcare professionals to resolve routine administrative queries
- Provide flexible administrative support across the Directorate as required, ensuring continuity of service
- Contribute to high standards of patient care and uphold Trust values at all times

Qualifications
Essential
Good standard of general education
RSA/OCR III WP/Typing or equivalent
AMSPAR or British Medical Secretary Diploma (includes medical terminology) or equivalent knowledge
Desirable
ECDL or equivalent

Audio typing/word processing
Desirable
Recent proven NHS administration experience
Medical audio typing

Working knowledge of Microsoft office suite
Knowledge of medical terminology
Evidence of a good standard of Literacy / English language skills
Good communication skills on the telephone, via email, face to face and in written correspondence
Profession and responsible approach at all times

Ability to manage Consultant diary
Accurate and timely presentation of information
Ability to take steps to ensure the patient has a smooth pathway
Advanced keyboard skills

Proven experience of successfully working in team environment
Show initiative but also able to follow instruction as required

Working knowledge of in house hospital systems
Knowledge of patient notes / retrieval and related tasks/medical records procedure
Knowledge of Department and Divisional Structure
Minute taking and transcribing (or be willing to undertake training)
