Job Title: Medical Secretary

Location: Hillis Lodge, Northfield, Birmingham, B31 5HE

Hours: 37\.5 hours per week, Monday – Friday 9am – 5pm

Trust Location: Birmingham and Solihull Mental Health NHS FT

Role type: Temporary for 3 months with possibility of extension

Reference: 89297

Duties to include but not limited to:

· Provide a comprehensive, reliable, confidential secretarial and admin service to support the Consultant Psychiatrist and clinical team

· Responsibility for ensuring confidentiality is always maintained in accordance with the Data Protection Act, Trust Policy and Good Practice.

· Responsible for providing a confidential medical secretarial and administrative service to the clinical team.

· To compose and transcribe of complex clinical information prioritising the workload whilst ensuring a high degree of accuracy.

· Maintain and update clinical team diaries.

· To take receipt of record and action all correspondence on behalf of the Clinical team appropriately within Trust guidelines.

· Responsible for maintaining clinical filing systems, ensuring all documents are filed/uploaded in a timely and accurate manner.

· To facilitate a variety of meetings and take minutes, as directed by the Consultant Psychiatrist, Team Manager or Administration Manager and also to provide cover in the absence of administrative colleagues.

· Taking receipt of referrals to the clinical team, recording and action as appropriate.

· Undertake all forms of regular and ad hoc text management including the use of templates and transcription from digital dictation.

*This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.*

2\. Knowledge of the systems used, to effectively complete your role to the highest standard at all times

3\. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation

You’ll have the following skills/experience:

· *Minute taking experience*

· *Ability to audio type*

· *Able to cope with an ever\-changing workload.*

· *Competent with Microsoft Office programmes*

· *NHS experience (desirable)*
