Medical Secretary/Administrator
Job Overview
We are seeking a dedicated, organised, and professional Medical Secretary to join our busy GP practice. The successful candidate will provide comprehensive secretarial and administrative support to GPs and the wider clinical team, ensuring the efficient management of patient correspondence, referrals, and medical records. This role requires excellent organisational skills, strong attention to detail, and the ability to work effectively in a fast\-paced primary care environment while maintaining the highest standards of confidentiality and patient care. Previous experience within a GP practice or NHS healthcare setting is highly desirable.
Duties
- Providing comprehensive secretarial support to GPs and other healthcare professionals.
- Managing and processing incoming and outgoing clinical correspondence, including letters, emails, and NHS communications.
- Typing, formatting, and proofreading medical reports, referral letters, and other clinical documentation.
- Processing referrals through the NHS e\-Referral Service (e\-RS) and liaising with hospitals, community services, and external healthcare providers.
- Maintaining accurate, confidential, and up\-to\-date patient records using the practice's clinical system (EMIS Web or SystmOne).
- Monitoring and actioning clinical correspondence, discharge summaries, and hospital communications as directed by clinicians.
- Answering telephone calls and responding to patient enquiries in a courteous, professional, and empathetic manner.
- Assisting with appointment administration and supporting practice workflows where required.
- Filing, scanning, photocopying, and undertaking general administrative duties to support the smooth running of the practice.
- Ensuring compliance with NHS policies, GDPR, Information Governance, and practice procedures at all times.
- Previous experience as a Medical Secretary or Administrator within a GP practice, NHS, or healthcare environment is desirable.
- Excellent organisational and time management skills, with the ability to prioritise a varied workload and meet deadlines.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook) and experience using GP clinical systems such as EMIS Web or SystmOne.
- Knowledge of medical terminology and NHS referral processes, including the NHS e\-Referral Service (e\-RS), is advantageous.
- High level of accuracy and attention to detail when preparing and managing confidential documentation.
- Ability to work independently as well as collaboratively within a multidisciplinary team.

Expected hours: 20\.0 – 30\.0 per week
