Job Purpose

To provide a professional, efficient and welcoming reception and administrative service to patients, visitors and members of the primary healthcare team. The post holder will act as the first point of contact for patients, ensuring they receive a high standard of customer service while supporting the smooth day\-to\-day operation of the practice.

Main Duties and Responsibilities Reception Duties

  • Welcome patients and visitors in a friendly, courteous and professional manner.

  • Answer incoming telephone calls promptly and deal with enquiries appropriately.

  • Book, amend and cancel appointments in accordance with practice protocols.

  • Signpost patients to the most appropriate clinician or service.

  • Register new patients and update patient demographic details.

  • Process patient arrivals and manage waiting room enquiries.
Administrative Duties
  • Process repeat prescription requests in line with practice procedures.

  • Receive, sort and distribute incoming post and prepare outgoing correspondence.

  • Scan and accurately code clinical and administrative documents onto patient records.

  • Maintain accurate electronic patient records using the practice clinical system.

  • File, photocopy, scan and undertake general administrative duties as required.

  • Support clinicians and the wider practice team with administrative tasks.
Patient Care
  • Provide excellent customer service to all patients.

  • Deal with sensitive situations in a calm, professional and empathetic manner.

  • Maintain patient confidentiality at all times in accordance with GDPR, NHS guidance and practice policies.

  • Ensure patients are treated with dignity, respect and compassion.
General Responsibilities
  • Work collaboratively with all members of the practice team.

  • Adhere to practice policies and procedures.

  • Participate in mandatory training and continuous professional development.

  • Maintain a clean, tidy and safe reception area.

  • Report any significant events, complaints or concerns to the appropriate manager.

  • Undertake any other reasonable duties appropriate to the role as requested by the Practice Manager.
Person Specification Essential
  • Excellent communication and interpersonal skills.

  • Friendly, professional and approachable manner.

  • Good organisational skills with the ability to prioritise workload.

  • Ability to work under pressure in a busy environment.

  • Good IT skills and confidence using computer systems.

  • Excellent attention to detail.

  • Ability to work effectively as part of a team.

  • Reliable, punctual and flexible.

  • Commitment to maintaining confidentiality and professionalism.
Desirable
  • Previous experience working in a GP practice, healthcare or customer service environment.

  • Knowledge of NHS primary care services.

  • Experience using clinical systems such as EMIS Web (or similar).

  • Understanding of medical terminology.
Working Relationships

The post holder will work closely with GP Partners, Salaried GPs, Practice Nurse, Healthcare Assistants, Practice Manager, Deputy Practice Manager, Referral Secretaries, Reception and Administration Team, patients and external healthcare professionals.

Disclosure and Barring Service Check
This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
