The opportunity
Hollygirt is a small school with a big heart. We know every child as an individual and give them the space, support and encouragement they need to grow in confidence, enjoy learning and discover what they are capable of.
We are looking for someone who can help more families discover us.
You will often be the first person a prospective parent speaks to, so this role is about making people feel welcome from the very beginning. You will listen, answer questions, show families around and help them decide whether Hollygirt feels right for their child.
You will stay in touch throughout their journey, making sure nobody is forgotten and that every family knows what happens next. You will also help us share the Hollygirt story through our website, social media, events and local relationships.
Behind the scenes, you will keep everything organised, follow up enquiries and help us understand what is working. You do not need to have worked in a school before. We are more interested in finding someone who is warm, confident, commercially minded and genuinely enjoys turning an initial conversation into a lasting relationship.
Working pattern and flexibility
The role is 25 hours a week, spread across five shorter days. We want someone to be available each weekday, but we can be flexible about your exact start and finish times and find a pattern that works for you and the school.
This is a 48 week a year role because families often get in touch during the school holidays. That does not mean you will be expected to work through every holiday. We will plan your annual leave and working days together, making sure there is some cover at important times, particularly over the summer and in the run\-up to the new school year.
You will need to join us for an evening or weekend event, such as an Open Morning, and other events important to the ethos and marketing of Hollygirt.
Main purpose of the role
- Own and actively manage the admissions pipeline from initial enquiry to enrolment, ensuring that no suitable family is lost through inconsistent or insufficient follow\-up.
- Provide a warm, highly responsive and commercially minded parent experience that reflects Hollygirt's personal approach.
- Generate more enquiries from families who are a strong fit for Hollygirt and improve conversion at each stage of the recruitment journey.
- Deliver focused marketing activity that supports priority year groups, Open Events and pupil\-number targets.
- Create accurate, useful reporting so that recruitment decisions are based on evidence and return on investment.
1\. Admissions and sales progression
- Act as the first named contact for prospective families, responding promptly, warmly and professionally by telephone, email and in person.
- Qualify enquiries sensitively and consistently, gathering the information needed to understand each child's needs, the family's priorities, affordability, timing and suitability for Hollygirt.
- Manage every live opportunity through a clear pipeline: enquiry, qualification, visit, taster or assessment, application, offer, acceptance and enrolment.
- Arrange and coordinate school tours, taster days, assessments and relevant pupil information, ensuring families know what to expect at every stage.
- Work closely with the Headteacher and relevant staff to progress applications, communicate decisions and manage expectations clearly.
- Prepare and issue accurate admissions correspondence, registration information, offers, acceptance documents and joining information.
- Maintain appropriate contact with families who are interested but not yet ready to apply, building a future pipeline for priority entry points.
- Support retention and onboarding by ensuring accepted families remain engaged and confident before their child joins.
- Maintain a complete, accurate and up\-to\-date admissions database or CRM, with clear ownership, next actions and follow\-up dates.
- Track the source, quality and outcome of every enquiry, including reasons for proceeding, pausing or choosing another school.
- Produce a concise weekly pipeline report covering live opportunities, forecast enrolments, stalled cases, risks and actions required.
- Report monthly on enquiry volume and quality, response times, conversion rates, Open Event performance and marketing return by channel.
- Use evidence from the pipeline to recommend changes to messaging, activity, events and the parent journey.
- Handle personal and sensitive information accurately, confidentially and in line with data\-protection requirements.
- Keep the Local Authority updated with pupil admissions and departures and manage the school roll.
- Deliver the agreed annual and termly recruitment plan, prioritising year groups with capacity and the audiences most likely to thrive at Hollygirt.
- Working with external agencies (where appropriate) to create and coordinate clear, engaging content for the website, email, social media, print and digital campaigns, using Hollygirt's positioning and tone of voice consistently.
- Ensure recruitment communications show Hollygirt as a mainstream independent school where small classes, personal attention and strong pastoral care help children grow in curiosity, confidence, creativity and character.
- Keep website admissions information, fees, calls to action, forms, event details and Google Business Profile content accurate and current.
- Gather authentic stories, testimonials, photography and day\-to\-day school content that supporting marketing plans and help prospective parents imagine their child at Hollygirt.
- Coordinate external suppliers and agency support where required, keeping activity focused on agreed recruitment outcomes and budgets.
- Plan and deliver Open Mornings, tours and smaller recruitment events that showcase the school during a normal working day and help families experience its atmosphere.
- Follow up every attendee promptly and personally, recording outcomes and next steps in the pipeline.
- Rebuild and maintain productive relationships with feeder schools and relevant local organisations, employers, relocation contacts and community partners.
- Represent Hollygirt confidently at external events and identify appropriate opportunities to introduce the school to new families.
- Brief colleagues involved in visits and events so that families receive a consistent welcome and a clear account of who Hollygirt is for.
- Work with our uniform provider to ensure accurate numbers of current and potential pupils are communicated in good time, and stock levels are kept up\-to\-date
- Act as the point of contact for Alumni, working with the Head and other key members of the team to encourage relationships with our former pupils
- A healthy, visible pipeline with an agreed next action for every live family.
