Penn Contracting has been established for over 30 years and is growing fast, carrying out refurbishment projects ranging from £100k to £3m in and around London. We focus on high quality projects with an uncompromising attitude to our work. We currently have several projects in central London and Surrey.
About the Role
Penn requires an experienced, proactive and self\-motivated administrator to assist the Maintenance Manager with the day\-to\-day operations of our growing maintenance division. This is a varied and fast\-paced reactive role, working closely alongside the Maintenance Manager to ensure jobs are efficiently managed from enquiry through to completion.
The successful candidate will play a key role in supporting administration, procurement, cost tracking, quotations and invoicing, while helping to ensure maintenance works progress smoothly and efficiently.
Key Responsibilities
- Supporting the Maintenance Manager with day\-to\-day administrative tasks.
- Providing exceptional customer service to new and existing clients.
- Assisting with raising and issues quotations for reactive maintenance works.
- Processing invoices and supporting financial administration.
- Tracking job costings and monitoring expenditure against works completed.
- Monitoring the progress of reactive jobs and ensuring updates are maintained.
- Liaising with on\-site teams, suppliers and clients regarding ongoing works.
- Assisting with the procurement of materials and arranging deliveries where required.
- Maintaining accurate records, spreadsheets and job tracking systems.
- Ensuring documentation is organised and up to date.
- Strong administrative experience in an office environment is a must (construction or maintenance experience beneficial but not essential).
- Excellent written and verbal communication skills.
- Proficient with Microsoft 365 software.
- Exceptional organisational skills with the ability to prioritize and manage time effectively while maintaining great attention to detail.
- Confident and polite telephone manner.
- Work well in a team with a ‘can do’ attitude.
- Part time, working 3 days a week.
- Ability to Reliably Commute\- Cobham, Surrey.
- Adhering to Penn / Bright HR Policy and Procedures.
- Tuesday to Thursday– 9:00am\-5:30pm.
- You will be automatically enrolled into the Government NEST scheme.
- The holiday year is 1 Jan to 31 Dec and holiday entitlement is 28 days (pro rata) including Bank Holiday, subject to director approval.
