Job Summary

The Logistics team is a central department to the rest of the company and as a Logistics Scheduler you are expected to communicate and collaborate with other departments including; Warehousing, Build, Customer Support Desk and Client Services.

As Logistics Scheduler you will assist the Logistics Team with their planning and organisation of the company’s digital media installation and maintenance visits from a resource perspective, managing the workload and day to day calendar of engineers.

Maintaining an accurate log of activities via our in\-house system Autotask.

Communicating efficiently and accurately to other departments and the field engineering resource, to ensure completeness of all scheduled visits.

Assisting the Logistics Team with planning movement of engineers/equipment needed for physical installations across the UK and EU prior to visits, as well as planning for hotels, ferries and other transport where necessary.

Responsibilities and Duties – Includes but not restricted to;

  • Managing engineers working calendars, including overtime works

  • Maintaining effective communication and updates between logistics and on the road staff

  • Using Autotask effectively to record all visits

  • Meeting SLA for engineer attendance – Ensuring visits are scheduled within client expectations

  • Accurately recording 3rd party costs from our approved contractor list

  • Managing 3 party service levels

  • Arranging access for installations and support visits for all sites, including shopping centres, airports, train stations and large department stores

  • Generate Support visit RAMS

  • Organisation of kit movement between our office in Altrincham to our engineers on the road/to site direct/alternate warehousing

  • Supplying Bybox/UPS addresses for kit shipping

  • Arranging equipment Hire

  • Book hotels, flights and ferries

  • Making and answering phone calls in a proactive manner

  • Sending and replying to emails in a proactive manner
Qualifications and Skills

Ability to work well in a fast\-paced environment

Highly organised

Attention to detail

Be able to confidently and calmly communicate at all levels

Excellent communication skills, both written and verbal

Proficient in Microsoft Word, Excel, and Outlook.

Analytical and Problem\-Solving skills

Accurate reporting and recording skills

Team working

Building rapport with colleagues/other departments

Previous experience in a similar role would be advantageous

Additional languages (French, German, Spanish would be welcomed)
