The Role
Harmony Auto is seeking an organised, proactive, and detail\-oriented Lead Officer of Sales Administration to oversee and manage all aspects of the Group’s sales administration function.
This is a key operational leadership role with responsibility for ensuring the smooth, compliant, and efficient running of sales administration processes across the Harmony Auto Group. The successful candidate will lead and support the Sales Administration teams across multiple locations, while also maintaining control of group vehicle inventory, fleet administration, and operational compliance.
The role requires strong leadership, excellent organisational skills, and the ability to work collaboratively with dealership management teams and senior stakeholders.

Key Responsibilities
Group Sales Administration Management
- Take overall responsibility for the day\-to\-day management of the Group Sales Administration function.
- Lead, support, and develop the Group’s Sales Administrators across all sites.
- Ensure all vehicle sales are processed accurately, efficiently, and within required timescales.
- Maintain consistency in administrative procedures and standards across the Group.
- Implement and improve administrative processes to increase efficiency and accuracy.
- Monitor workloads and provide support to ensure departmental objectives are achieved.
- Conduct regular reviews and audits of sales administration activities.
- Maintain oversight and control of vehicle inventory across the Group.
- Ensure accurate stock management and vehicle status reporting.
- Monitor vehicle movements, registrations, and stock reconciliations.
- Work closely with Branch Managers, Finance and operational teams to ensure vehicle records are accurate and up to date.
- Support the management of ageing stock and operational reporting requirements.
- Oversee all fleet administration processes across the Group.
- Ensure fleet documentation, vehicle records, and customer files are maintained accurately.
- Support fleet operations and coordinate with internal departments and external stakeholders.
- Ensure all fleet\-related administration is completed within agreed deadlines and compliance standards.
- Ensure all sales administration activities comply with company policies, manufacturer standards, and relevant legislation.
- Maintain accurate and secure documentation and record\-keeping processes.
- Support internal audits and operational compliance checks.
- Work collaboratively with the Group’s compliance and finance teams where required.
- Provide leadership, guidance, and training to Sales Administration teams.
- Support recruitment, onboarding, and development of departmental staff.
- Promote high standards of professionalism, customer service, and accountability.
- Build strong working relationships across departments and sites.
- Escalate operational issues and provide practical solutions where necessary.
- Previous experience within automotive sales administration is essential.
- Experience managing or supervising administrative teams.
- Strong understanding of vehicle sales processes, registrations, invoicing, and stock control.
- Knowledge of fleet administration processes is advantageous.
- Excellent organisational and time management skills.
- High attention to detail and accuracy.
- Strong communication and leadership abilities.
- Ability to work under pressure and manage multiple priorities.
- Competent in Microsoft Office and dealer management systems.
