Junior Assistant
As a Junior Assistant (ENNOH), you will support the Office and Operations Manager in the day\-to\-day administrative and operational functioning of the office. You will contribute to the smooth running of office activities and provide practical support to the team under the supervision of the Office and Operations Manager and the Director.
As Junior Assistant, you will be responsible for tasks and responsibilities allocated by the Director, including:
Administrative and Office Support, including
o Provide general administrative assistance to the Office Manager and staff
o Support daily office operations, including handling basic enquiries from members and stakeholders
o Assist with mail and email administration
o Help maintain electronic filing systems, including uploading and organising documents on SharePoint
o Support the maintenance of contact databases, mailing lists, and calendars
o Support office logistics, including coordination with building management, suppliers, and basic IT\-related issues
o Assist with office setup and maintenance tasks (e.g. furniture, supplies, meeting rooms)
Support to Meetings and Events, including
o Assist with meeting and event preparations, including registrations and participant lists
o Booking of meeting rooms and coordination of logistics (e.g. catering, materials)
o Help update meeting calendars in Outlook and SharePoint
Support to Travel and Expenses, including
o Assist the Office Manager with travel arrangements for staff
o Support the preparation and follow\-up of business expenses and credit card reconciliations
Membership and Database Support, including
o Assist in updating the registrations of members’ representatives to working groups
