Job Title: HR Manager
Location: Worcester and Kidderminster
Primary Location: Worcester, with occasional travel to Kidderminster branch as required
Reporting to: Directors / Senior Management Team
Working Pattern: Part\-time, 25 hours per week, Monday–Friday, 9\.30am–2\.30pm, term\-time only
Salary: £40,000 per annum pro rata, equivalent to £18,750 for 39 weeks of term\-time working.
Role Purpose
The HR Manager will take ownership of the day\-to\-day HR function across WLZ Group, providing a clear and consistent point of contact for employees and managers across the organisation.
The role will ensure that HR processes, employee records and people\-related administration are managed effectively and consistently, while providing appropriate support to managers and the Senior Management Team on employee relations and more complex HR matters.
The HR Manager will work closely with the Directors, Centre Managers and staff to ensure that HR matters are dealt with promptly, professionally and appropriately.
The role is primarily based at Worcester, with occasional travel to the Kidderminster centre required to provide HR support and an on\-site presence when needed.
Key Responsibilities
1\. HR Administration \& Records
- Take overall responsibility for the day\-to\-day HR administration function.
- Maintain accurate and up\-to\-date employee records.
- Ensure employment documentation and personnel files are appropriately maintained.
- Ensure HR paperwork is completed accurately and within appropriate timescales.
- Maintain HR trackers, systems and records.
- Monitor key HR dates, including probationary periods, contract reviews and other employee milestones.
- Ensure relevant HR documentation is stored securely and confidentially.
- Provide HR information and documentation to management as required.
- Coordinate the recruitment process across WLZ Group.
- Work with managers to identify recruitment requirements and vacancies.
- Prepare and manage job advertisements and recruitment documentation.
- Liaise with candidates throughout the recruitment process.
- Coordinate interviews and relevant recruitment administration.
- Ensure appropriate pre\-employment checks are completed.
- Coordinate references and other required checks.
- Prepare contracts and new starter documentation in conjunction with the appropriate management team member.
- Coordinate the onboarding process for new employees, to ensure full safer recruitment compliance.
- Ensure new starter records and HR systems are updated appropriately.
- Ensure new employees receive relevant policies, procedures and information.
- Act as a clear first point of contact for employees on day\-to\-day HR matters.
- Provide guidance to staff on HR processes, policies and procedures.
- Support employees with queries relating to areas such as:
- Holidays and annual leave
- Sickness and absence
- Training
- Contracts and employment documentation
- Workplace policies and procedures
- General HR queries
- Ensure employee queries are dealt with promptly or appropriately escalated where required.
- Maintain confidentiality when dealing with sensitive employee matters.
- Maintain accurate records of staff sickness and absence.
- Monitor absence and identify where management intervention may be required.
- Ensure appropriate absence processes are followed.
- Support managers with return\-to\-work processes and relevant documentation.
- Escalate ongoing or complex absence matters to the appropriate member of senior management.
- Maintain accurate absence records and provide relevant information to management when required.
- Support the administration of annual leave and other forms of employee leave.
- Ensure holiday records are maintained accurately.
- Provide guidance to managers and staff on relevant leave processes.
- Monitor outstanding or unusual leave\-related issues and escalate where appropriate.
- Maintain accurate records of employee training and development.
- Monitor mandatory training requirements and renewal dates.
- Work with managers to identify training requirements.
- Ensure relevant training records are kept up to date.
- Support the organisation with the administration of staff development and CPD where required.
- Provide appropriate HR support to managers dealing with employee relations matters.
- Support managers with processes relating to performance, conduct, probation and other employee matters.
- Ensure appropriate HR processes and documentation are followed.
- Support investigations, meetings and formal processes where appropriate.
- Provide guidance to managers and escalate more complex or sensitive matters to the Directors or appropriate external HR/legal adviser where required.
- Ensure appropriate records are maintained throughout employee relations processes.
8\. Policies \& Procedures
- Maintain and organise HR policies and procedures.
- Ensure staff have access to relevant HR policies and documentation.
- Support the review and updating of HR policies as required.
- Ensure changes to HR processes are communicated appropriately.
- Help ensure consistency in the application of HR processes across both centres.
- Maintain accurate employment documentation.
- Monitor relevant employment documentation and contractual information.
- Ensure required employee checks and records are completed and maintained.
- Maintain appropriate records relating to HR compliance.
- Work with external HR or legal advisers where specialist advice is required.
- Ensure confidential employee information is handled appropriately.
- Take ownership of the HR inbox and ensure queries are responded to or appropriately allocated.
- Ensure HR requests are tracked and followed through to completion.
- Provide a clear route for staff and managers to raise HR queries.
- Reduce duplication and unnecessary escalation by ensuring matters are directed to the appropriate person.
- Provide regular HR updates to the Directors/Senior Management Team.
- Highlight significant HR issues, trends or areas requiring management attention.
- Provide relevant HR information and reports when required.
- Support management with workforce planning and recruitment requirements.
- Advise management where HR processes or responsibilities require clarification.
- Support the organisation with wider people\-related projects as required.
- Assist with the development and improvement of HR processes.
- Identify opportunities to simplify and improve HR administration.
- Ensure HR processes are practical, consistent and clearly communicated.
- Work collaboratively with Centre Managers and senior management across both centres.
The HR Manager will work closely with:

- CIPD qualification or relevant HR qualification.
- Previous experience working in an HR role.
- Good understanding of day\-to\-day HR processes and administration.
- Strong organisational and administrative skills.
- Excellent attention to detail.
- Ability to manage confidential and sensitive information appropriately.
- Good communication and interpersonal skills.
- Ability to communicate confidently with employees and managers at all levels.
- Ability to manage multiple priorities and deadlines.
- Ability to work independently and take ownership of HR matters.
- Good judgement around when matters can be dealt with directly and when they need to be escalated.
- Ability to maintain accurate records and follow processes consistently.
- Experience working within an education or multi\-site organisation.
- Experience supporting employee relations matters.
- Experience with recruitment and onboarding.
- Experience with HR systems and digital record keeping.
- Experience supporting managers with performance, absence or probation processes.
The HR Manager will be expected to:

The HR Manager will have responsibility for the day\-to\-day operation and administration of HR across WLZ Group.
The role will work closely with the Directors and Senior Management Team on more complex or significant matters, with appropriate external HR or legal advice sought where required.
