JOB TITLE: HR Generalist

REPORTS TO: HR Manager

SHIFT PATTERN \- Mon\-Fri (09:00\-17:00\)

JOB PURPOSE: Reporting directly to the HR Manager, the purpose of this role is to provide broad, practical HR support across the business and help ensure the effective delivery of day\-to\-day HR activities. The HR Generalist will act as a key point of contact for routine HR queries, take ownership of assigned activities and escalate complex or higher\-risk matters appropriately, helping the team deliver a professional, timely and compliant HR service across all sites.

KEY ACCOUNTABILITIES:

· Provide day\-to\-day generalist HR support to the HR Manager and Senior HR Advisor, taking ownership of assigned activities and following agreed actions through to completion.

· Arrange formal and informal HR meetings, issue invitations, prepare meeting packs and ensure the relevant documentation is available.

· Attend disciplinary, grievance, appeal, absence, capability, welfare and other HR meetings to take clear and accurate notes.

· Produce meeting notes promptly, record agreed actions and maintain confidential case files in an organised and consistent manner.

· Monitor employee absence and support the management of return\-to\-work interviews, absence reviews, welfare meetings and occupational health referrals.

· Maintain absence trackers, identify outstanding actions and escalate concerns or delays

· Manage employment reference requests, ensuring references are checked, authorised and issued accurately within agreed timescales.

· Manage the HR inbox and act as a first point of contact for day\-to\-day HR enquiries, resolving routine queries and escalating more complex matters appropriately.

· Prepare HR correspondence, including meeting invitations, outcome letters, reference responses, contractual documents and general employee communications.

· Support routine employee relations processes, including disciplinary, grievance, capability, welfare and absence matters, ensuring documentation, meeting records and case trackers are complete and up to date.

· Process authorised contractual changes, salary amendments, promotions and transfers, ensuring systems, documents and organisation records are updated.

· Support onboarding, probation reviews, employee changes and leaver activities, working with the HR administration team to ensure actions are completed.

· Produce weekly and monthly HR reports, including absence, headcount, turnover, case activity and other people information as required.

· Maintain accurate employee records and carry out regular audits of HR files, systems and case documentation.

· Provide managers with initial guidance on established HR policies, procedures, templates and process requirements, referring complex, sensitive or higher\-risk matters.

· Support employee engagement activities, HR projects and improvements to systems, templates and working practices.

· Handle personal and confidential information securely and in accordance with data protection requirements and company procedures.

· Provide wider coordination and administrative support to the HR team as reasonably required.

  • To assist in accident investigations as necessary

  • To ensure that housekeeping standards are maintained

  • To adhere to relevant site rules, QEHS policies and procedures including quality procedures, HACCP, safe systems of work and environmental controls
Communication:
  • To have good communication skills and ability to liaise verbally confidently with employees and Management.

  • To listen carefully to instructions

  • To keep your manager up to date with any work issues that may affect deadlines
Flexibility and Ad\-Hoc:
  • To be flexible to work on a variety of duties and locations as required.

  • To carry out any other task that is reasonable and within your skill set as business needs dictate.
KNOWLEDGE, SKILLS, EXPERIENCE
  • Experience arranging meetings, taking accurate notes and producing professional correspondence.

  • Practical knowledge of absence management, employee relations processes and the employee lifecycle.

  • Strong organisational skills with the ability to manage competing priorities and follow actions through to completion.

  • High attention to detail and the ability to maintain accurate records and trackers.

  • Confidence using Microsoft Word, Excel, Outlook and PowerPoint, including producing reports and maintaining spreadsheets.

  • Professional communication skills and the confidence to liaise with employees and managers at all levels.

  • Ability to handle sensitive and confidential information with discretion.

  • Ability to work with limited supervision, use initiative and recognise when a matter should be escalated.

  • A positive, practical and service\-focused approach.
Pay: £27,000\.00\-£30,000\.00 per year
