Job Purpose
We are seeking an organized, detail\-oriented HR Administrator to manage daily human resources operations at Trimbio. Operating within the medical supplies and servicing industry. In this role, you will act as the operational backbone of our HR function—overseeing recruitment, onboarding, asset coordination (uniforms and company vehicles), training and compliance frameworks to keep our workforce efficient, safe, and certified.
Key Responsibilities
1\. Talent Acquisition \& Recruitment Support
- Coordinate the end\-to\-end recruitment process by drafting and posting job advertisements tailored to commercial, technical, and service delivery roles.
- Screen resumes, communicate with applicants, and schedule interviews for internal departments.
- Conduct pre\-employment checks, including requesting and verifying employment references.
- Facilitate seamless onboarding processes for new starters, including contract distribution, equipment setup, and company orientations.
- Manage formal offboarding processes for departing employees, ensuring exit surveys are complete and company property is securely recovered.
- Assist management in documenting formal performance reviews and handling disciplinary administrative paperwork in line with employment guidelines.
- Oversee the daily tracking of hours by managing data from both the physical Clocking in device and the digital Clockify system.
- Monitor attendance patterns, flag deviations, log absences, and generate reports for payroll processing.
- Coordinate procurement, inventory, tracking, and distribution of company uniform clothing to office, warehouse, and field staff.
- Administer fleet management tasks for company vehicles, ensuring service records, insurance, driver logs, and tracking statuses are up to date.
- Audit and maintain up\-to\-date staff training matrices to verify that all necessary industry Training and Certificates remain compliant.
- Coordinate scheduling for mandatory regulatory updates, medical servicing courses, or operational certifications.
- Administer Health and Safety logs, ensuring incident records, risk assessments, and company workplace safety documentation are organized and stored correctly.
- Proven experience as an HR Assistant, HR Administrator, or in a dedicated personnel operations role.
- Experience with time\-tracking platforms like Clockify and hardware\-based clocking systems is highly advantageous.
- Basic understanding of fleet administration, physical asset tracking (uniforms), and standard Health and Safety tracking.
- Excellent organizational skills with the ability to manage strict paperwork structures securely.
- High level of professional integrity and confidentiality when handling sensitive information (reviews/disciplinaries).
- Strong communicative approach, capable of interfacing across office and field teams.
