Key Responsibilities
Human Resources
- Coordinate the end\-to\-end recruitment process including advertising vacancies, arranging interviews, communicating with candidates and maintaining recruitment records.
- Manage all pre\-employment checks including references, right to work documentation, DBS applications and other compliance requirements.
- Administer all new starter processes, ensuring employment paperwork is completed accurately and information is shared with operational managers, payroll and finance.
- Maintain accurate employee records, both electronic and paper based, ensuring compliance with GDPR and organisational policies.
- Support managers with employee relations matters including disciplinary, grievance, capability and absence procedures, liaising with outsourced HR advisers where appropriate.
- Prepare letters, meeting packs and documentation relating to employee relations cases.
- Monitor DBS renewal dates and ensure all employees maintain valid DBS clearance.
- Assist with HR reporting for the Senior Management Team and Trustees.
- Respond to HR queries from managers and employees in a professional and timely manner.
- Support policy reviews and ensure HR documentation remains current.
- Provide administrative support to the Executive Director.
- Manage diaries, meetings and appointments.
- Arrange travel, accommodation and meeting logistics where required.
- Prepare agendas, presentations, reports and meeting papers.
- Take minutes and maintain accurate action logs where required.
- Support organisational projects through effective coordination and administration.
- Manage confidential correspondence and documentation with discretion.
- Provide administrative support to the Finance Manager.
- Assist with occasional purchase orders, invoices and supplier administration.
- Support payroll administration by ensuring employee information is accurate and submitted on time.
- Maintain financial records and filing systems.
- Support audits and finance projects through accurate administration.
- Maintain accurate filing systems and organisational records.
- Produce reports and management information as required.
- Respond promptly to requests from managers, employees and external stakeholders.
- Support continuous improvement of administrative systems and processes.
- Undertake any other duties commensurate with the role as reasonably requested.
