Job Summary

We are seeking an experienced and proactive Facilities Manager to oversee the maintenance, safety, functionality, and presentation of our serviced apartment portfolio. The successful candidate will ensure all properties are maintained to the highest standards, delivering a safe, comfortable, and high\-quality experience for guests while ensuring operational efficiency and compliance with all relevant regulations.

Key Responsibilities

Property \& Facilities Management

  • Oversee the day\-to\-day maintenance and operation of serviced apartments and communal areas.

  • Ensure all apartments are fully operational, clean, safe, and guest\-ready at all times.

  • Manage planned preventative maintenance (PPM) schedules for all building systems and equipment.

  • Coordinate repairs, refurbishments, and emergency maintenance works.

  • Conduct regular property inspections and audits to maintain brand standards.
Contractor \& Vendor Management
  • Manage external contractors, suppliers, and service providers including cleaning, HVAC, plumbing, electrical, and security services.

  • Obtain quotations and negotiate contracts to ensure cost\-effective service delivery.

  • Monitor contractor performance and ensure work is completed to agreed standards and timelines.
Housekeeping Operations \& Quality Control
  • Manage and oversee all housekeeping operations across the serviced apartment portfolio, ensuring apartments, communal areas, and guest facilities are maintained to the highest standards of cleanliness and presentation.

  • Create, allocate, and monitor daily, weekly, and deep\-cleaning tasks for the housekeeping team, coordinating guest check\-outs, arrivals, weekly cleans, and special housekeeping requests.

  • Monitor linen and housekeeping inventory levels, order linen and supplies as required, and ensure adequate stock is available to support operational needs.

  • Oversee the housekeeping team, managing work schedules, monitoring performance, handling guest housekeeping requests, and ensuring all cleaning activities are completed efficiently and to company standards.

  • Conduct regular inspections of apartments during weekly cleans and after guest check\-outs, ensuring quality standards are maintained, identifying maintenance issues, and coordinating corrective actions where necessary.
Health, Safety \& Compliance
  • Ensure compliance with health and safety legislation, fire regulations, and company policies.

  • Maintain accurate records for statutory inspections, certifications, and risk assessments.

  • Lead emergency response procedures and ensure all safety equipment is properly maintained.

  • Conduct regular health and safety inspections across all properties.
Budget \& Cost Control
  • Assist in preparing and managing maintenance and facilities budgets.

  • Monitor expenditure and identify opportunities for cost savings and operational improvements.

  • Maintain inventory levels for maintenance supplies and equipment.
Guest \& Operational Support
  • Respond promptly to maintenance issues raised by guests or operational teams.

  • Work closely with housekeeping, front office, and operations teams to ensure seamless guest experiences.

  • Support apartment setup, refurbishment projects, and new property openings when required.
Requirements
  • Proven experience in facilities management, property management, or building maintenance, preferably within hospitality or serviced apartments.

  • Strong knowledge of building systems, maintenance practices, and health \& safety regulations.

  • Excellent organisational and problem\-solving skills.

  • Ability to manage multiple properties and priorities effectively.

  • Strong contractor and vendor management experience.

  • Good communication and interpersonal skills.

  • Proficient in Microsoft Office and facilities management systems.

  • Relevant facilities management or health \& safety qualifications are desirable.
Working Hours

Flexible working hours may be required, including occasional evenings or weekends to respond to operational needs or emergencies.
