About RSPCA South Bucks

RSPCA Buckinghamshire South (South Bucks) is a branch of the RSPCA, supporting the work of the national RSPCA charity but operating as a separately registered and independent charity. We are responsible for our own activities, which includes rescuing, rehoming and assisting animals in our local area and for raising all of our own funds to deliver this work. The branch has eight part time staff and the majority of our work is carried out and supported by around 90 volunteers. Our vision is a world where all animals are respected and treated with compassion, and our volunteers and employees work tirelessly to ensure that animals can live free from pain and suffering.

Job Summary

The Finance and Business Officer is responsible for the day\-to\-day business and financial administration across all areas of the business. Reporting to and working closely with the Head of Branch, you will be expected to make use of the full capability of the Branch’s existing software systems (Google Workspace,Xero and Approval Max) to deliver all financial activities including bookkeeping; invoicing and payments; bank reconciliations; management accounts and reporting; cash flow; financial policies, processes and controls and budgeting; contract management; all associated administrative activities.

You must ensure that all activities are carried out in compliance with current legislation including SORP accounting, Branch and national RSPCA policies, relevant Health \& Safety regulations and any associated statutory requirements.

The role is home based remote working, with occasional travel to meetings in Buckinghamshire.

  • Process, monitor, record and manage all receipts \& payments to/from the Branch in accordance with the agreed procedures and in liaison with the appropriate staff and volunteers including weekly banking, cash handling, invoice creation and processing, Branch payments (including those made via credit cards and petty cash) and account reconciliation.

  • Maintain all financial records and accounting systems (using Xero), registers and statistics as required by the branch.

  • Manage all bookkeeping processes and functions, including the asset register,

  • Work with the Head of Branch and Trustees to prepare an annual financial budget.

  • Maintain close oversight of the branch’s budget in collaboration with the Head of Branch proactively identifying and addressing any discrepancies, overspend, or unplanned financial activity to ensure effective financial control and informed decision\-making.

  • Produce monthly management accounts which include balance sheets, profit \& loss statements, performance against budget and other financial reports/management information as may be required.

  • Coordinate bank accounts across the charity, including set up, closures, and balance management. Monitor interest rates and returns and recommend alternatives when appropriate.

  • Prepare and submit quarterly VAT returns.

  • Prepare and submit quarterly Gift Aid claims

  • Support ordering and purchasing processes as required

  • Liaise with staff and volunteers, providing training where appropriate, to ensure that branch financial processes are adhered to

  • Arrange and manage suppliers and contracts, ensuring timely renewals, researching and recommending suitable more cost effective alternatives

  • Liaise with external accountants to prepare annual financial statements and coordinate annual review.

  • Monitor and develop financial procedures as appropriate

  • Ensure that all administrative paperwork and financial activity is processed in accordance with Branch procedures and retention and destruction conforms to the relevant policies such as GDPR.

  • Ensure branch financial policies are compliant with and kept up to date with regulatory and legislative changes and requirements.

  • Attend meetings and training courses as required.

  • Undertake such other duties as requested by the Head of Branch.

  • Support the Head of Branch as a key strategic and operational partner, acting as second\-in\-command and deputising in their absence where appropriate.

  • Develop, and manage relationships across relevant stakeholder groups, both within and outside the charity.
Essential skills, qualifications and experience:
  • A finance qualification or working towards level 3 AAT or ACCA

  • Proven experience and knowledge in charity financial operations and requirements

  • Able to prioritise workload, work to deadlines

  • Excellent attention to detail and high levels of accuracy

  • Able to work collaboratively, take direction, but with minimum day to day supervision

  • Self driven, proactive, reliable and flexible

  • Experience with Xero and Google Workspace, excellent Excel skills

  • Sympathy for animal welfare and the work of the RSPCA

  • Willing and able to travel around the Branch area when required

  • Payroll processing (desirable)
Salary £30\-35,000 FTE, pro rata to part time hours, dependent on experience

Expected hours 18\-22 per week, work pattern to be agreed with the successful candidate, comprising a minimum 18 hours worked over a minimum of three days (Monday to Friday)
