We are seeking an organised, detail\-oriented, and customer\-focused Export Trade Administrator to support our international sales and export operations. The role involves processing export orders, preparing shipping and customs documentation, coordinating international deliveries, supporting overseas customers, and ensuring compliance with export procedures while delivering exceptional customer service throughout the order process.
This position requires someone who thrives in a fast\-paced environment, can work efficiently under pressure, and is confident managing competing priorities independently while maintaining a high level of accuracy.
Key Responsibilities
- Process export customer orders, quotations, and sales documentation accurately.
- Prepare and maintain export documentation, including commercial invoices, packing lists, shipping documents, and certificates of origin where required.
- Liaise with freight forwarders, shipping agents, courier providers, and customs brokers to coordinate domestic and international shipments.
- Monitor export shipments, providing customers with updates on order status, lead times, and delivery schedules.
- Ensure export documentation complies with customer requirements, customs regulations, and international trade procedures.
- Manage shipping discrepancies, courier claims, and delivery issues, ensuring prompt resolution.
- Maintain accurate customer and shipment records within CRM and Sage systems.
- Support the export sales team and develop strong relationships with international distributors, trade partners, and customers.
- Work closely with the Head of Commercial \& Procurement regarding stock availability and customer priorities to ensure timely communication and fulfilment.
- Coordinate with warehouse, production, and logistics teams to ensure export orders are prepared and dispatched on time.
- Prioritise workloads effectively and adapt to changing business demands within a fast\-moving export environment.
- Assist with continuous improvement of export administration processes and ensure compliance with company procedures.
Essential
- Previous experience in export administration, international sales support, logistics, customer service, or a similar role.
- Strong understanding of export documentation and international shipping processes.
- Excellent communication and organisational skills.
- High attention to detail with the ability to manage multiple priorities independently.
- Ability to work efficiently and maintain accuracy under pressure.
- Competent in Microsoft Office and order processing systems.
- Experience working within manufacturing, wholesale, or international distribution.
- Working knowledge of Sage 200 or similar ERP systems.
- Understanding of Incoterms, customs procedures, and export compliance requirements.
- Experience liaising with freight forwarders, customs agents, and international courier providers.
- Experience handling export documentation, courier claims, and international customer service enquiries.
