Tiny House Pro is one of the UK's leading manufacturers of premium Tiny Houses.

We are a fast\-growing business supplying customers throughout the UK and Ireland and attending a busy programme of major exhibitions and events across the country throughout the year.

As our business continues to expand, we're looking for an experienced Executive PA \& Office Manager to join our team at our Cuffley office.

This is a varied and important position combining Executive PA support, office management, confidential business administration and the coordination of our busy national exhibition and travel programme.

We're looking for someone highly organised, confident and proactive who enjoys being at the centre of a busy business and can become a trusted and dependable member of our team.

The Role

You'll work closely with the Directors while also taking responsibility for the smooth day\-to\-day running of the office.

No two days will necessarily be the same.

You could be managing a Director's diary, preparing important correspondence, organising travel for a team attending an exhibition, booking flights and hotels, speaking with a customer or supplier, gathering information relating to a legal matter or making sure an important deadline hasn't been missed.

We're looking for someone who can stay one step ahead.

Someone who doesn't need to be reminded constantly, who follows things through and who takes genuine ownership of their responsibilities.

Executive PA Support

Working closely with the Directors, your responsibilities will include:

  • Managing diaries, appointments and meetings

  • Organising and prioritising schedules

  • Monitoring important deadlines and outstanding actions

  • Preparing information and documents ahead of meetings

  • Drafting professional emails, letters, reports and business documents

  • Making telephone calls and communicating with third parties on behalf of the Directors

  • Taking notes where required and ensuring agreed actions are followed up

  • Managing correspondence and helping prioritise matters requiring attention

  • Liaising with customers, suppliers, contractors and professional advisers

  • Chasing outstanding information and ensuring matters are followed through

  • Helping the Directors manage competing priorities and workloads
Private, Confidential \& Legal Matters

This is a position of trust.

You'll regularly have access to private, commercially sensitive and confidential information and will therefore need excellent judgement and complete discretion.

Your responsibilities may include:

  • Assisting with correspondence relating to legal matters, disputes and sensitive business issues

  • Drafting and organising confidential correspondence on behalf of the Directors

  • Liaising professionally with solicitors, accountants, insurers and other professional advisers

  • Gathering and organising documents, correspondence and supporting information

  • Maintaining accurate records and chronological files for ongoing matters

  • Monitoring deadlines and following up outstanding information

  • Organising private and confidential company documentation

  • Handling sensitive information appropriately and discreetly
You will not be expected to provide legal advice, but you must be comfortable dealing with legal and commercially sensitive matters, following instructions accurately and maintaining strict confidentiality.

Travel \& Exhibition Coordination

Tiny House Pro attends a large number of exhibitions and events throughout the year.

A significant part of this position will be taking responsibility for coordinating the travel and accommodation arrangements for our sales representatives and other team members attending these events.

This will include:

  • Booking hotels and accommodation

  • Booking UK and international flights when required

  • Arranging train travel and other transport

  • Researching suitable accommodation close to exhibition venues

  • Coordinating travel around exhibition dates and working schedules

  • Preparing clear travel itineraries for team members

  • Managing booking confirmations, amendments and cancellations

  • Keeping accurate records of travel and accommodation arrangements

  • Monitoring travel and accommodation costs

  • Ensuring bookings are made sufficiently early to secure suitable accommodation and competitive rates

  • Liaising with sales representatives regarding travel arrangements

  • Keeping track of upcoming exhibitions and ensuring everything is organised well in advance

  • Assisting with exhibition passes, tickets and other event administration

  • Responding quickly when last\-minute changes to travel or accommodation occur
You may sometimes be coordinating arrangements for several people attending different exhibitions at the same time, so excellent organisation and forward planning are essential.

Office Management

You'll also help ensure our Cuffley office operates efficiently on a day\-to\-day basis.

Responsibilities will include:

  • Overseeing the general organisation of the office

  • Acting as a central point of contact for staff, customers and suppliers

  • Managing incoming calls and correspondence when required

  • Maintaining organised electronic and physical records

  • Coordinating office supplies and general office requirements

  • Keeping company documentation organised and up to date

  • Supporting recruitment, interviews and new starter administration

  • Helping coordinate staff diaries, holidays and meetings

  • Liaising with external suppliers and contractors

  • Assisting with general exhibition and event administration

  • Monitoring outstanding tasks and chasing actions where necessary

  • Helping implement better administrative systems and processes as the company grows
The Person We're Looking For

Previous experience as an Executive PA, Personal Assistant, Executive Assistant, Office Manager or in a similar responsible administrative position would be highly desirable.

You'll need to be:

  • Exceptionally organised

  • Proactive and able to use your own initiative

  • Confident and professional

  • Trustworthy and discreet

  • An excellent written and verbal communicator

  • Comfortable drafting professional business correspondence

  • Confident dealing with customers, suppliers and professional advisers

  • Comfortable handling private and confidential information

  • Able to prioritise multiple tasks and deadlines

  • Comfortable chasing people and following matters through

  • Calm and effective when plans change at short notice

  • Accurate with excellent attention to detail

  • Competent with Microsoft Office, Outlook and general business systems

  • Comfortable learning new software and processes
Previous experience arranging business travel, accommodation, exhibitions or events would be a significant advantage.

Qualifications are useful, but attitude and ability are more important.

We're looking for someone who takes ownership.

We don't want someone who needs to be given a new list of instructions every morning.

We want someone who understands what's happening within the business, recognises what needs attention and takes responsibility for making sure it gets done.

You'll need the confidence to say:

"I've already dealt with that."

But equally, you'll need the judgement to recognise when something needs to be brought to a Director's attention.
