An exciting opportunity has arisen for an experienced Executive Assistant to join a well-established organisation, supporting a busy function.
You will play a key role in ensuring the smooth running of the legal team by coordinating queries, managing documentation, and supporting efficient processes and systems. This role will suit someone highly organised, proactive, and confident working across a wide range of stakeholders.
Key Responsibilities
- Act as the primary point of contact for legal queries, ensuring effective coordination and communication
- Provide comprehensive administrative support to Legal Counsel and the wider legal team
- Manage the legal inbox and correspondence workflow, ensuring queries are prioritised, tracked, and resolved efficiently
- Draft and issue correspondence in line with internal processes
- Provide diary management, scheduling meetings, training sessions, and external engagements
- Minute meetings and maintain accurate governance and committee records
- Ensure appropriate escalation of complex or sensitive matters
- Monitor and manage shared inboxes and incoming correspondence, ensuring accurate triage
- Manage document workflows, including file creation, storage, archiving, and retrieval
- Coordinate incoming and outgoing legal documentation, including formal notices
- Support the progression of property transactions and trust-related matters
- Maintain and update legal databases and records
- Coordinate document execution with trustees and stakeholders
- Maintain team statistics, dashboards, and reporting data
- Manage SharePoint and document management systems, ensuring structured filing
- Create and update process documentation and procedures
- Proven experience in an Executive Assistant role
- Strong organisational skills with the ability to prioritise workload and meet deadline
- Excellent written and verbal communication skills
- High level of accuracy and attention to detail
- Strong stakeholder engagement skills, working across all levels
- Experience managing documentation, correspondence, and data systems
- Strong working knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Experience using SharePoint or document management systems (desirable)
- Exposure to legal documentation or a legal environment (desirable)
Working Pattern: Hybrid (2 days pw on site)
Hourly rate: £19 - £22 per hour
Hours: 17.5 per week
Contract: 1-3 months with chance to extend
