Executive Assistant to Managing Director
Renewell Water is looking for a highly organised, proactive and dependable Executive Assistant to work directly with our Founder and Operations Manager.
The purpose of this role is simple: to give two of the senior people in our business their time back.
You'll take ownership of the emails, administration, bookings, paperwork, renewals and day\-to\-day tasks that don't need to be handled personally by the Founder or Operations Manager.
We're not looking for someone who simply takes notes or waits to be given a list of jobs every morning.
We're looking for someone who takes ownership.
If something needs booked, you book it. If something needs renewed, you get the quotes and sort it. If someone needs chased, you chase them. If there's a problem you can solve yourself, you solve it.
The right person will become someone we can trust to say "Can you sort this?" to, knowing it will be taken care of from start to finish.
What You'll Be Doing
Your responsibilities will include:
- Managing and organising the Founder's email inbox.
- Assisting with the Operations Manager's emails and administration.
- Responding to routine emails and correspondence where appropriate.
- Managing diaries, appointments and meetings.
- Booking flights, hotels, transport and travel arrangements.
- Managing insurance renewals, including vehicles and other company policies.
- Obtaining quotes and comparing suppliers and services.
- Making calls and dealing with suppliers on behalf of management.
- Completing forms, applications and general paperwork.
- Keeping track of important dates, renewals and deadlines.
- Organising meetings and ensuring actions are followed up.
- Chasing outstanding information or tasks from suppliers and team members.
- Preparing documents, letters and basic reports.
- Organising receipts, expenses and administrative records.
- Helping coordinate company events and travel.
- Handling confidential and sensitive information.
- Assisting the Founder with occasional personal administration.
- Taking ownership of the many small day\-to\-day jobs that arise within a busy and growing company.
We're looking for someone who is:
- Exceptionally organised.
- Proactive and able to work without constant supervision.
- A natural problem solver.
- Comfortable taking ownership and making things happen.
- Excellent at following through and finishing tasks.
- Confident speaking to suppliers, employees and external companies.
- Professional and friendly on the phone and over email.
- Able to prioritise when several things need attention at once.
- Comfortable working directly with senior management.
- Highly trustworthy and discreet.
- Strong with technology and comfortable learning new systems.
- Detail\-oriented without losing sight of the bigger picture.
The Type of Person Who Will Succeed Here
You don't need to be reminded three times to follow something up.
If you're asked to arrange insurance, you don't simply send an email and consider the job done. You follow it through, get the quotes, compare the options, chase responses, get approval where necessary and make sure it's completed.
You enjoy taking something from "this needs done" to "that's sorted."
You're comfortable working in a fast\-moving business where different things come up every day.
You also understand that supporting senior management requires discretion, reliability and trust.
