Executive Assistant
As experienced and proactive Executive Assistant, you act as a trusted partner to our CEO and Executive Committee. In this role, you go far beyond traditional executive support: you actively contribute to the effectiveness of the leadership team by challenging existing ways of working, improving governance practices, and ensuring smooth executive collaboration.
In addition, you will also hold a coordinating mandate for the headquarters office environment, ensuring a well\-organized, professional and disciplined work environment.
Your responsibilities

Executive support
- You proactively manage and prioritize the executive calendars in line with the strategic priorities
- You act as a trusted gatekeeper and advisor for requests and time allocation.
- You ensure smooth and confidential information flows
- You actively challenge and improve meeting effectiveness, agenda quality and decision clarity
- You implement best practices around governance (meetings cadences, decision frameworks, preparation standards).
- You support Executive Committee meetings from preparation through follow\-up
- You contribute to annual planning cycles, off\-sites, and leadership events
- You foster collaboration and alignment within the top team
- You track key decisions and ensure follow\-up
- You coordinate selected internal/external meetings end\-to\-end and ensure materials are delivered on time and of right quality
- You capture outcomes and ensure action tracking where needed
- You coordinate daily functioning of the headquarters office environment. You ensure cleanliness, maintenance follow\-up and workplace discipline
- You act as central contact point for offices\-related issues.
- You work closely with our Facilities department
- You coordinate travel arrangements, events, and logistics.
- You manage expenses, invoices, and administrative workflows
Your profile

- You’re an seasoned executive assistant, with \+/\- 10 years of experience in fast\-paced environments
- You have proven a track record in supporting senior executives, ideally at CEO level
- You have a conceptual mindset with strong business judgment
- You’re able to challenge constructively and influence senior stakeholders
- You are highly organized and excel at prioritizing in a complex environment
- You work with discretion and integrity
- You communicate clearly and excel in stakeholder management
- You’re resilient, proactive, and solution\-oriented
- You’re fluent in Dutch, French and English
