Role Purpose

We are seeking a meticulous and highly organised Data \& Compliance Administrator to join our team. In this role, you will be the backbone of our learner onboarding and compliance ecosystem. You will manage the end\-to\-end processing of learner applications and enrolments, administer complex funding streams, and ensure absolute compliance with funding rules. A critical aspect of this role includes preparing rigorous audit files to satisfy regulatory bodies and inspectorates, including Ofsted and Estyn.

Key Responsibilities

Applications \& Enrolment Management

  • Process applications and manage the learner onboarding pipeline efficiently.

  • Enrol learners onto our internal Enrolment database, update information in external trackers and prepare funding claims.

  • Act as a point of contact for applicant and employer queries regarding enrolment documentation, eligibility, and next steps.
Funding Administration \& Compliance
  • Administer the end\-to\-end compliance process for various funding streams.

  • Meticulously verify learner eligibility criteria and review evidence submitted by applicants (e.g., ID, employment status, prior qualifications).

  • Ensure all data entry and documentation strictly adhere to specific funding rules, guidelines, and contract requirements.

  • Identify, flag, and resolve anomalies or gaps in learner evidence before formal data submission.

  • Update and maintain accurate personal records in the Customer Relationship Management (CRM).
Audit \& Inspection Readiness
  • Compile, organise, and maintain highly accurate and complete evidence and audit packs for funders.

  • Prepare documentation and support evidence coordination for inspections by regulatory bodies such as Ofsted (England) and Estyn (Wales).

  • Conduct regular internal data quality audits to mitigate risks and maintain a high standard of compliance.

Person Specification

Experience

  • Proven experience working as a Data Administrator, MIS Administrator/Officer, Enrolment Officer, Compliance Administrator, or in a similar role within the further education, work\-based learning, or training sector.

  • Demonstrable experience working with government\-funded training programmes (e.g., PLA, Skills Bootcamps, Apprenticeships).

  • Direct experience preparing documentation for, or participating in, Ofsted or Estyn inspections is highly desirable.
Skills
  • Attention to Detail: An exceptional eye for detail with a track record of identifying errors or discrepancies in data and documentation.

  • Process\-oriented: Ability to read, interpret, and confidently apply complex funding rules and regulations.

  • Digital Literacy: Proficient in Microsoft Office (specifically Excel) and experience working with Learner Management Systems (LMS) or Individualised Learner Record (ILR) software.

  • Communication: Excellent verbal and written communication skills to liaise professionally with applicants, colleagues, and external stakeholders.

  • Organisation: Strong time\-management skills with the ability to handle high volumes of data during peak recruitment and enrolment periods.
