Contracts Administrator
Job Summary
We are seeking a Contract Administrator to join our team. The ideal candidate will be responsible for contacting customers to schedule work, reporting/updating clients on work progress and undertaking various admin duties including; data entry, responding to enquiries by email and telephone and preparing written documents as well as providing admin support for the rest of the office team.
Responsibilities
Responsibility for full job management from job entry to job completion along with our existing team. Inclusive of:
- Setting up new clients and assets and recording new jobs in the system when received.
- Communicating with clients and residents, allocating the repair work to the relevant operative or sub\-contractor within the specified timescale and ensuring material and parts have been organised.
- Liaising with the surveyors or procurement officer for support with materials or allocation as and when needed.
- Recording necessary data to the correct works orders in the means of; materials, surveys, reports or any other correspondence.
- Assess the information recorded upon job completion and allocate to the correct job status.
- Assess the live job status’s and update the individual jobs in a timely manner or as instructed by your manager.
- Dealing with email and telephone correspondence to the company’s mailboxes and main phone line and manage the enquiry including job queries from clients.
- Assist with operative queries as and when they are received.
Assist with training new administrative employees when requested to via your manager.
Preparing written documents such as letters and quotations.
Develop your own skill set as required to improve your own personal development.
Work in accordance with the company’s set policies and procedures.
Respect the confidential nature of the work and protect personal information in accordance with data protection.
Skills
- Proficient in Microsoft Office Suite, particularly Word and Excel.
- Excellent IT Skills and telephone manner
- Exceptional written and verbal communication skills.
- Ability to work independently as well as part of a team.
- Strong organisational skills with the ability to manage multiple tasks simultaneously.
- Previous experience in contract administration or a related field is advantageous but not essential.
Salary
The salary will be based on your age as below:
18\-20 years old: £22,630\.00 per annum
21 years and over: £26,509\.43 per annum
Pay: £22,630\.00\-£26,509\.43 per year
