Role Overview

As a Client Administrator, you will play a key role in supporting Financial Planners and internal teams by ensuring the smooth and compliant administration of financial advice services. This is a dynamic and client-focused role requiring excellent organisational skills, attention to detail, and the ability to work collaboratively across departments.

Key Responsibilities

  • Manage the end-to-end process of new business applications.

  • Liaise with third-party providers to ensure timely and accurate processing of client documentation.

  • Maintain up-to-date client records and ensure all actions are logged in internal systems.

  • Handle Letters of Authority and Transfers of Authority, following up with providers to obtain necessary information.

  • Support Financial Planners with meeting preparation and pipeline updates.

  • Respond to client and third-party queries via phone and email in a professional and compliant manner.

  • Process incoming and outgoing post, prioritising and distributing appropriately.

  • Escalate client complaints or compliance issues promptly.

  • Monitor system-generated tasks and data control reports to ensure accuracy and timely resolution.

  • Contribute to continuous improvement initiatives to enhance client experience and operational efficiency.

Skills & Competencies
  • Strong communication skills, both written and verbal.

  • Ability to work effectively across teams and build strong working relationships.

  • Problem-solving mindset with the ability to work independently in a fast-paced environment.

  • Excellent time management and organisational skills.

  • High level of computer literacy, including Microsoft Office.

  • Experience with financial platforms or back-office systems (training provided if required).

Experience Required
  • Previous experience in a financial services.

  • Proven track record in client administration or a similar support role.

  • Experience in a client service-focused setting.
