Care Home Administrator

Salary: £28,000 per annum
Hours: 40 hours per week
Job Type: Full\-time, Permanent
Location: 50\-bed Care Home

About the Role

We are looking for an experienced, organised and professional Care Home Administrator to join the team at our 50\-bed residential care home.

The Administrator plays an important role in the day\-to\-day running of the home, working closely with the Home Manager and supporting the wider management team with personnel, resident, financial and general administration.

You will also be one of the first points of contact for residents, relatives, visitors and external professionals, so we are looking for someone who is approachable, professional and able to communicate confidently with people at all levels.

This is a varied and responsible position requiring excellent organisation, attention to detail and the ability to manage a busy workload while maintaining confidentiality at all times.

Key Responsibilities

Personnel Administration

  • Supporting recruitment and onboarding of new employees.

  • Processing DBS applications, references, contracts, contract amendments and other employment documentation.

  • Preparing job offer letters.

  • Maintaining accurate and up\-to\-date personnel files.

  • Recording and maintaining supervision and appraisal documentation.

  • Carrying out regular personnel file audits.

  • Supporting the management team with disciplinary and other HR documentation in accordance with company policies and procedures.
Resident Administration
  • Preparing and maintaining resident contracts and associated documentation.

  • Recording new admissions and discharges.

  • Maintaining and updating the home's occupancy and live bed tracker.

  • Maintaining accurate resident records, including next of kin and GP information.

  • Administering residents' personal allowances and maintaining accurate records of money received and spent.

  • Processing payments for items such as hairdressing, purchases and trips.

  • Completing other resident\-related administration as required.
Financial \& General Administration
  • Liaising with local authorities regarding contracts and outstanding payments.

  • Managing petty cash and completing reconciliations.

  • Maintaining appropriate records for monies held within the home's safe.

  • Administering comfort funds and monies raised on behalf of residents.

  • Banking cheques and dealing with incoming and outgoing post.

  • Scanning and forwarding documentation to Head Office as required.

  • Processing and submitting payroll information and timesheets where required.

  • Maintaining accurate records and ensuring documentation is completed and filed correctly.
Reception \& Office Management
  • Acting as a professional first point of contact for visitors, relatives, professionals and new enquiries.

  • Answering telephone calls and dealing with enquiries appropriately.

  • Ensuring the reception, foyer and office areas are clean, tidy and presentable.

  • Providing general administrative support to the Home Manager and management team.

  • Maintaining confidentiality and ensuring information is handled in accordance with GDPR and company procedures.
About You

We are looking for someone who:

  • Has previous administrative experience, ideally within a care, healthcare or similarly regulated environment.

  • Is highly organised and able to prioritise a varied workload.

  • Has excellent attention to detail.

  • Is confident using computers and standard office systems.

  • Has good written and verbal communication skills.

  • Is comfortable dealing with residents, relatives, employees and external professionals.

  • Understands the importance of confidentiality and accurate record keeping.

  • Can work independently while also being an effective member of the management team.

  • Has a positive, professional and approachable manner.
