Brand Creative Operations Manager
The Opportunity
The Brand Creative Operations Manager will be responsible for the smooth running of Voy’s brand and content studio, ensuring work moves efficiently from intake through delivery and archive.
Reporting into the Head of Production, this role will manage the systems, workflows, tools and operational details that keep the production team organised and effective. The Brand Creative Operations Manager will be central to project intake, resource coordination, freelance and contractor admin, contracts and releases, asset management, DAM ownership and production workflow hygiene.
This is a highly operational role for someone who loves building order, improving systems and creating clarity for creative teams. Early priorities will include overhauling Asana, establishing a clear project intake and tracking process and recommending, building and managing Voy’s Digital Asset Management (DAM) system from scratch.
This role is key to helping Voy’s creative team operate with clarity, speed and control.
What You’ll Do
Studio Operations \& Workflow
- Manage the day\-to\-day running of the production studio from intake through delivery
- Own project intake, ensuring new requests are captured clearly, triaged appropriately and resourced efficiently
- Partner with the Head of Production to maintain visibility across active, upcoming and completed work
- Keep project information accurate, current and easy for the team to reference and understand across Asana and other workflow tools
- Help ensure every project has the right brief, owner, timeline, status, deliverables and approval path
- Identify workflow gaps, bottlenecks and process improvements across the studio
- Lead the overhaul of Voy’s Asana workflows for the production and content team
- Build clear project structures, templates, naming conventions, views, fields, statuses and reporting dashboards
- Ensure Asana becomes the source of truth for project status, ownership, deadlines and delivery
- Train and support team members on how to use Asana consistently
- Maintain strong project hygiene so work does not get lost, duplicated or miscommunicated
- Partner closely with the Head of Production to create visibility into workload, priorities and resourcing
- Support project resourcing across internal team members, agencies, production companies and contractors
- Help track availability, capacity and assignments across producers, editors, creatives and external support
- Coordinate freelancer onboarding, booking, paperwork and production logistics
- Create, curate and maintain a roster of trusted freelancers, vendors and contractors
- Support the Head of Production with resource planning and production capacity tracking
- Manage the flow of contracts, scopes of work, purchase orders, invoices, releases and other production documents
- Keep production documents organised, current and easy to access
- Maintain database of updated templates for briefs, call sheets, schedules, budgets, wrap documents, contracts and production checklists
- Track key production details including usage rights, licensing windows, talent agreements and partner deliverables
- Ensure completed projects are properly wrapped, documented and archived
- Lead the setup and ongoing management of Voy’s Digital Asset Management system
- Build and maintain a clear asset taxonomy, tagging structure, naming convention and folder logic
- Ensure final assets, working files and key production documents are properly uploaded, tagged and archived
- Assign and update asset usage rights, talent rights, licensing restrictions and expiration dates where applicable
- Field asset requests from internal teams and help people find the right files quickly
- Keep the archive current, useful and trusted across the business
- Support the delivery of final assets to internal teams, external partners and channel owners
- Ensure files are correctly named, versioned, formatted and delivered against the required specifications
- Track final deliverables and ensure nothing is missed across campaigns, launches and content workflows
- Experience in studio management, creative operations, project management, production coordination
- Highly organised with strong attention to detail
- Comfortable managing multiple projects, requests and deadlines at once
- Strong understanding of creative and production workflows for design, photography and motion assets across broadcast, social, digital, ecomm, CRM, OOH and other brand creative channels
- Experience with Asana or similar project management tools
- Experience with DAM systems, asset libraries, taxonomy, tagging and file management
- Familiarity with creative production contracts, rights, licensing, releases, purchase orders and production documentation
- Process\-minded, proactive and confident building systems from scratch
- Calm, service\-oriented and able to bring structure to fast\-moving environments
