Branch Administrator
Job Summary
Clockwork Removals and Storage are looking for an experienced Administrator to join our busy Edinburgh branch.
The ideal applicant will possess a polite and friendly manner; they will come across approachable and maintain a positive attitude whilst also possessing the ability to remain calm and show resilience when faced with challenging situations. You must be able to use your own initiative if working on your own from time to time.
Main Duties:
\- Raising and issuing customer sales invoices ensuring the correct sales code is used
\- Raising and issuing storage customer sales invoices on a monthly basis
\- Load customer receipts on to our system ensuring the correct date, reference and amount is stated
\- Matching customer invoices and customer receipts, along with matching customer invoices and customer credits where appropriate
\- Processing Direct Debit instructions for storage customers
\- Reviewing our Aged Debtors Report and ensuring it is complete and accurate
\-Chase Customer Debt that is due and/or overdue
\- Collecting overdue customer invoices eg. Credit control by statement, letter, email or
telephone on a weekly basis
\- Banking and reporting to Head Office the customer receipts by cheque or cash, whilst also
processing and reporting customer card receipts
\- Recording petty cash payments and receipts detailing date, nominal code, description, net
amount, VAT amount and gross amount
\- Reconciling petty cash records
\- Sending supplier invoices/credits/statements to Head Office
\- Preparing and reporting the weekly timesheet spreadsheet and expenses for the removal
staff and sending to Head Office for the processing of the weekly wages
\- Handling all onboarding documents for all new removal staff and forward to HR
General Duties:
\- Filing and maintaining accounting and payroll records where applicable
\- Dealing with customer enquiries
\- Dealing with Employee queries
\- Assisting the Office Manager with processing correspondence in response to customer
complaints and damage reports
\- Any additional duties required at the needs of the business
\- Key holder for the branch, closing and locking up the office a the end of the day as and when
required
\-Providing cover for the Office Manager during periods of Annual Leave/absence
Pay: £26,000\.00\-£29,000\.00 per year
