Assistant Manager: Third\-Party Risk \& Facilities, Edinburgh
Job Purpose
The role supports the delivery of the Bank's Third\-Party Risk Management Framework and is responsible for the day\-to\-day coordination of office facilities and premises activities. The role maintains accurate supplier and facilities records, coordinates key processes and supports effective governance, reporting and service oversight.
The position is well suited to an individual looking to develop practical experience across supplier governance, third\-party risk, facilities management and operational risk within a regulated banking environment.
Main responsibilities / key duties:
Third\-Party Risk Management
- Maintain the Third\-Party Register and supplier records, ensuring information is complete, accurate and current.
- Coordinate supplier onboarding activities and track completion of required approvals and due diligence.
- Monitor periodic due diligence reviews, reassessments and outstanding supplier actions.
- Liaise with Supplier Relationship Managers and business stakeholders to obtain evidence and resolve outstanding requirements.
- Support supplier risk assessments, governance reviews and the escalation of material issues.
- Produce supplier management information, dashboards and committee reporting.
- Monitor contract renewal dates, review schedules and key supplier lifecycle milestones.
- Support stressed and non\-stressed exit plan reviews and updates.
- Maintain outsourcing and supplier governance records to support audit and regulatory requirements.
- Coordinate supplier governance meetings, papers, minutes and action tracking.
- Maintain standard templates, guidance and process documentation for Third\-Party Risk Management.
- Support monitoring of supplier performance, service levels, risks and remediation actions.
- Assist with the preparation of information for audits, assurance reviews and regulatory requests.
- Provide practical guidance to Supplier Relationship Managers on core supplier governance requirements.
- Prepare accurate management information and status reporting covering supplier risk and facilities activities.
- Track actions, issues and key deadlines, escalating delays or concerns to the appropriate manager.
- Build effective working relationships with business teams, Supplier Relationship Managers and external service providers.
- Promote consistent application of supplier governance and facilities processes across the Bank.
- Coordinate office and facilities administration, including planned maintenance, repairs and office layouts.
- Manage day\-to\-day relationships with facilities suppliers and service providers in line with TPRM requirements.
- Monitor facilities contracts, service delivery, performance and expenditure.
- Challenge facilities contract costs to ensure value for money whilst seeking efficiency opportunities where possible.
- Coordinate security, access control and physical infrastructure activities with relevant stakeholders.
- Maintain premises\-related records, inventories, certificates, schedules and action logs.
- Coordinate premises\-related continuity arrangements, emergency contacts and recovery information.
- Support health, safety and workplace environment activities, escalating issues where appropriate.
- Undertake ad\-hoc facilities support duties \& respond to minor facilities related incidents.
Essential
- Experience in administration, operations, supplier management, procurement, facilities or risk support.
- Strong organisational, planning and prioritisation skills, with the ability to manage multiple activities and deadlines.
- Excellent communication and stakeholder engagement skills.
- Strong attention to detail and the ability to maintain accurate records, registers and evidence.
- Experience coordinating actions, governance processes or service providers.
- Good analytical and report\-writing skills.
- Advanced Microsoft Office skills, particularly Excel, Word and PowerPoint.
- Experience in Third\-Party Risk Management, supplier governance, outsourcing, facilities management or contract administration.
- Experience within Financial Services or another regulated environment.
- Knowledge of supplier lifecycle management, due diligence, contract monitoring and exit planning.
- Awareness of facilities compliance, security, access control or workplace health and safety requirements.
