Role Overview
We are seeking a proactive and detail\-oriented Assistant Finance Manager to join our team in Livingston. Reporting directly to the Finance Manager, you will play a key role in supporting the day\-to\-day finance function, ensuring the accuracy and integrity of financial information.
This is a varied, hands\-on role covering accounts payable, month\-end processes, reconciliations, VAT returns, financial reporting, budgeting and forecasting. You will also help maintain strong financial controls, resolve day\-to\-day finance queries and support ongoing improvements within the finance function.
During periods of the Finance Manager’s absence, you will assume responsibility for the smooth running of the department and ensure routine finance activities continue to progress in line with agreed procedures and delegated authority.

Key Responsibilities
Accounts Payable \& Expenses
· Provide support and cover for the accounts payable function.
· Act as the escalation point for accounts payable queries or issues.
· Process purchase invoices accurately and efficiently, ensuring appropriate approvals are obtained.
· Prepare and review weekly supplier payment runs.
· Reconcile supplier statements and investigate and resolve discrepancies.
· Process staff expense claims and reconcile monthly credit card statements.
Month\-End Reporting
· Support month\-end and year\-end close processes, ensuring accuracy and timely reporting.
· Complete monthly balance sheet reconciliations and investigate reconciling items.
· Prepare and post routine month\-end journals, including accruals and prepayments where appropriate.
· Assist with the preparation of monthly management accounts and variance analysis.
· Support the preparation of budgets and forecasts.
· Produce regular KPI and cash flow reporting.
· Support the maintenance and reconciliation of the fixed asset register where required.
VAT, Banking and Compliance
· Assist with the preparation of VAT returns and supporting reconciliations for final review and submission.
· Perform regular bank reconciliations and investigate variances.
· Support year\-end audit preparation and provide information to external auditors as required.
· During periods of the Finance Manager’s absence, support the timely progression of routine VAT and reporting requirements in line with agreed procedures.
General Finance Support
· Handle finance\-related queries and correspondence from internal and external stakeholders.
· Work alongside the Credit Manager on matters relating to accounts receivable and credit control.
· Escalate matters outside delegated authority to the Finance Manager, or to senior management during periods of absence where appropriate.
· Maintain accurate and well\-organised financial records.
· Coordinate and maintain supplier pricing updates within internal systems.
· Identify opportunities to improve finance processes, controls and efficiencies.
· Support ad\-hoc finance tasks and projects as required by the Finance Manager.
Skills and Experience
Essential
· Proven experience in a finance or accounting role.
· Working knowledge of VAT, month\-end processes, balance sheet reconciliations and journal entries.
· Strong numerical ability with exceptional attention to detail.
· Proficient in Microsoft Excel.
· Strong organisational and time management skills with the ability to meet deadlines.
Desirable
· AAT qualified, studying towards ACCA/CIMA or equivalent, or demonstrable relevant experience.
· Experience using accounting or ERP systems.
· Working knowledge of Microsoft Navision and/or Business Central.
· Exposure to advanced reporting tools.
· Previous experience of line managing, supporting and developing a small team.
· Experience contributing to finance process improvements and internal controls.
