Larchfield House – Maidenhead, Berkshire
Job Type: Part\-time
Contracted Hours: 20 hours per week, with the opportunity to work additional hours as required
Salary: £15 per hour
Larchfield House is seeking an organised, professional and approachable Administrator to support the smooth day\-to\-day running of our nursing home.
This is a varied role requiring strong communication, attention to detail and the ability to manage competing priorities. The successful candidate will work closely with the Home Manager, senior leadership team, residents, families, staff and external professionals.
Key Responsibilities
- Provide general administrative support to the Home Manager and senior management team.
- Act as a professional first point of contact for visitors, relatives, healthcare professionals and external organisations.
- Answer telephone calls, manage emails and ensure enquiries are directed appropriately.
- Maintain accurate resident, employee and operational records.
- Support the administration of new resident admissions, contracts and funding documentation.
- Assist with staff recruitment, including arranging interviews, requesting references and completing pre\-employment checks.
- Maintain staff files, training records, annual leave information and compliance documentation.
- Support payroll preparation by checking timesheets, attendance records and relevant payroll information.
- Prepare letters, reports, meeting agendas, minutes and other correspondence.
- Maintain office systems, filing processes and confidential documentation.
- Order stationery and other supplies while monitoring stock levels.
- Support invoice processing, petty cash records and communication with the accounts team.
- Arrange appointments, meetings and visits for residents and management.
- Assist with audits, inspections and regulatory compliance, including preparation for CQC visits.
- Maintain confidentiality and comply with data protection requirements at all times.
- Complete other reasonable administrative duties required to support the effective operation of the home.
- Previous experience in an administrative or office\-based role.
- Excellent written and verbal communication skills.
- Strong organisational and time\-management abilities.
- Confident using Microsoft Word, Excel, Outlook and electronic record systems.
- Ability to produce accurate work and maintain attention to detail.
- Professional, polite and confident when communicating with residents, relatives and external professionals.
- Ability to prioritise tasks and work effectively in a busy environment.
- Understanding of confidentiality and data protection.
- Ability to work independently and as part of a multidisciplinary team.
- Flexibility to work additional hours when required.
- Previous administrative experience within a care home, healthcare or social care setting.
- Experience supporting recruitment, payroll or HR administration.
- Knowledge of CQC requirements and care\-sector compliance.
- Experience working with local authorities, NHS organisations or healthcare professionals.
