The Administrator will report directly to the Registered Manager (RM) and Deputy Manager (DM). The post holder will work closely with management to support the effective day\-to\-day running of the service and ensure administrative systems are maintained efficiently.
Overview
We are seeking a highly organised, proactive, and detail\-oriented Administrator to support the smooth and efficient running of our daily operations. The successful candidate will play a key role in ensuring administrative tasks are handled professionally and promptly, supporting teams with data management, scheduling, communication, social media monitoring, and office organisation.
This role requires someone who is reliable, able to multitask in a fast\-paced environment, and committed to maintaining a high level of accuracy, professionalism, and confidentiality.
Key Responsibilities
- Provide general administrative support to management and the wider team
- Handle incoming calls, emails, and correspondence in a professional and timely manner
- Maintain and update records, files, and databases accurately and securely
- Organise, maintain, and monitor office filing systems, electronic folders, and company documentation
- Ensure office folders, staff files, and operational documents are correctly labelled, stored, and easily accessible
- Monitor and support company social media platforms by checking messages, comments, enquiries, and reporting concerns or opportunities to management
- Assist with creating and scheduling social media content where required
- Schedule meetings, manage calendars, and coordinate appointments
- Prepare reports, presentations, letters, and documentation as required
- Manage office supplies and ensure office equipment is maintained and functioning properly
- Support HR functions such as onboarding, maintaining personnel records, and processing timesheets
- Liaise with internal departments and external professionals to ensure effective communication
- Assist in organising meetings, training sessions, staff events, and company activities
- Maintain confidentiality and ensure compliance with company policies, GDPR, and data protection regulations
- Support management with compliance documentation and general office coordination
- Ensure all administrative tasks are completed efficiently and within required deadlines
- Proven experience in an administrative or office support role
- Excellent verbal and written communication skills
- Strong organisational and time\-management abilities
- Proficiency in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint
- Familiarity with social media platforms such as Facebook, Instagram, TikTok, and LinkedIn
- Ability to organise and maintain both electronic and paper filing systems effectively
- Ability to handle sensitive and confidential information with discretion and professionalism
- Strong attention to detail and problem\-solving skills
- Ability to work independently and as part of a team
- Familiarity with office management procedures and administrative systems
- Ability to prioritise workload and manage multiple tasks simultaneously
