Investigation Services, which sits within the Agency's Enforcement Group, delivers a range of enforcement activities, both civil and criminal in nature, to support fair and open markets. We do this by effectively enforcing the statutory company and insolvency regimes, maintaining public confidence in those regimes, and reducing the harm caused to victims of fraudulent activity and to the business community.

Job description

The successful candidate will be required to manage a team of up to 8 administrative staff which may include apprentices and agency staff.

The Admin Support Manager is required to:

  • balance workload demand against available resources, working closely with the Senior Office Manager and the relevant Deputy Heads

  • line management responsibilities including HR, staff management and staff performance activities/reporting, linking objectives to local and divisional targets and expectations

  • lead regular team meetings including management briefings, monitoring the team’s performance, identifying and addressing issues as they arise

  • build and promote an inclusive culture with an acceptance and understanding of individual differences

  • be committed to the wellbeing, health and safety of your staff both in the office and working from home

  • be committed to the development of yourself and others with a focus on continuous improvement

  • ensure audits are completed as per the local audit plan, providing feedback on findings to senior management and staff
Responsibilities

The Admin Support Manager will be responsible for:

  • managing workflow to ensure targets and quality standards are met and are consistent across the team

  • providing technical advice and support to the team as and when it is required

  • providing support to the Senior Office Manager and the rest of the management team

  • compiling the monthly performance statistics within 3 working days of month end and providing regular commentary to the management team

  • ensuring adequate resource to ensure that casework is completed against departmental targets

  • identifying and addressing training needs within the team, ensuring that procedural changes and all desk instructions are up to date and clear

  • managing of a number of busy inboxes and spreadsheets

  • overseeing the quality and consistency of data input onto various in\-house case management systems

  • allocating cases, disclosure requests and technical queries to the vetting team

Person specification

The successful candidate must:

  • demonstrate strong and effective leadership

  • be able to evidence managing their own and their team's workload to address peaks and troughs whilst meeting deadlines and maintaining outputs

  • have strong written and verbal communication skills

  • have a good knowledge of IT – Microsoft Office Applications and a willingness to learn about Insolvency Service case management systems

  • have an awareness of the work undertaken by the Insolvency Service or the ability to assimilate the knowledge quickly

  • work collaboratively to deliver the key responsibilities of the post in a flexible and responsive manner, responding positively to changes of priority as work demands dictate

  • demonstrate an ability to work on your own initiative and as part of a team

  • be able to remain focused on both your own and the team’s priorities when under pressure

  • have evidence of attending and actively participating in meetings including producing notes

  • have evidence of encouraging effective communications with team members, management and other contacts
Knowledge or experience of the work of Compliance and Targeting team is desirable but not a necessity.
