Job Title: Accounts Assistant
Reporting to: Finance Manager
Role Purpose
The Accounts Assistant is responsible for providing accurate, timely, and efficient financial and administrative support to the Finance Department. The role plays a key part in ensuring the smooth operation of day\-to\-day accounting activities, maintaining accurate financial records, supporting cash flow management, and contributing to month\-end and audit processes.
Key Responsibilities
Sales Ledger
- Process sales invoices accurately and in a timely manner.
- Investigate and resolve customer account queries in collaboration with Customer Services and other departments.
- Maintain customer account records and ensure data accuracy.
- Process purchase invoices and ensure appropriate authorisation procedures are followed.
- Liaise with suppliers and internal stakeholders to resolve invoice discrepancies and queries.
- Maintain accurate supplier records and account information.
- Take ownership of the credit control function.
- Monitor outstanding debtors and follow up overdue payments.
- Maintain positive relationships with customers whilst ensuring timely collection of outstanding balances.
- Escalate significant issues to the Finance Manager where appropriate.
- Post and reconcile bank transactions accurately and efficiently.
- Support the preparation and processing of weekly payment runs.
- Prepare and post accounting journals as required.
- Assist with balance sheet reconciliations and other financial control activities.
- Support month\-end close procedures.
- Assist with the preparation of financial information and reports as required.
- Ensure financial records are maintained accurately and in line with company procedures.
- Assist with requests from external auditors and provide supporting documentation as required.
- Ensure compliance with company financial procedures and internal controls.
- Maintain confidentiality when handling sensitive financial information.
- Carry out weekly cycle counts and investigate discrepancies when required.
- Provide holiday and absence cover for other members of the Finance team.
- Support continuous improvement initiatives within the Finance function.
- Undertake any other reasonable duties commensurate with the level of the role.
Essential
- AAT qualified, studying towards AAT, or qualified by experience (QBE).
- Previous experience within a finance, accounts, or bookkeeping environment.
- Good understanding of basic accounting principles and financial processes.
- Strong numerical and analytical skills.
- Excellent attention to detail and accuracy.
- Effective written and verbal communication skills.
- Proficient in Microsoft Office applications, particularly Excel.
- Experience using accounting or ERP systems.
- Ability to organise workload, prioritise tasks, and meet deadlines.
- Strong problem\-solving skills and a proactive approach to work
- Experience working within a manufacturing, supply chain, or regulated environment.
- Experience supporting audits and month\-end processes.
- Stock reconciliation or inventory accounting experience.
