Accounts Administrator
About the Position:
The Accounts Administrator supports the accurate and timely day\-to\-day running of the Accounts department. The role is focused on purchase and sales ledger administration, BACS preparation, Sage processing, bank and commercial card transactions, invoice verification and maintaining complete and accurate financial records.
The successful candidate will be organised, accurate and comfortable working to deadlines. Previous experience using Sage, ideally Sage 50 Accounts, is highly desirable. The postholder will work closely with the Head of Financial Operations and other finance colleagues and will communicate regularly with staff, students and suppliers.
Key Responsibilities: \-
- Working with your manager and team to contribute to the development and implementation of strategic and operational plans
- Working with your manager to deliver day\-to\-day operational business activities in line with LDT goals, principles, values and customer service excellence
- Working with your manager to ensure compliance with all business and personal objectives
- Manage the accounts inbox and respond to invoices, expense claims and routine accounts queries.
- Process supplier invoices and expenses, ensuring the correct supporting information and approvals are in place.
- Verify invoices against relevant systems and records before including them in a BACS payment run and submitting them for final approval.
- Request amendments or additional information where invoices are incorrect, incomplete or do not agree with supporting records.
- Maintain payment schedules, monitor outstanding approvals and keep accurate payment records.
- Record purchase and sales invoices, receipts and payments accurately in Sage.
- Enter, import, match and allocate bank and commercial card transactions.
- Obtain missing invoices and receipts and investigate any unmatched or unusual transactions.
- Maintain complete and well\-organised records to provide a clear audit trail.
- Raise and issue invoices to students, customers and other relevant parties.
- Respond to routine account and payment queries and refer more complex matters to the appropriate finance colleague.
- Keep financial records accurate, confidential and up to date.
- Maintain accurate employee holiday entitlements and absence records.
- Update the holiday and absence spreadsheet regularly and reconcile it against the relevant HR and payroll systems.
- Monitor carried over and loyalty leave to ensure it is used within the permitted timeframes.
- Investigate and correct discrepancies between leave records and supporting systems.
- Assist with transferring and reconciling leave records between Absentify and NHR until the new system is fully implemented.
- Provide additional payroll administration support when required.
- Assist with month\-end, year\-end and audit preparation by providing reports, invoices and supporting records.
- Maintain organised electronic finance records and complete other reasonable accounts and payroll administration duties.
Maintain confidentiality and handle payroll, employee, student, supplier and banking information with care and discretion.
- Follow LD Training financial controls, approval processes, data protection requirements and record\-retention procedures.
- Work constructively with colleagues and contribute to accurate, responsive and customer\-focused finance services.
- Undertake relevant training and any other reasonable duties that are consistent with the level and purpose of the role.
