Yard & Warehouse Supervisor
The role
The Yard and Warehouse Supervisor leads safe, efficient yard and warehouse operations at Saint Hill Farm, ensuring accurate orders, effective stock management and high standards of team performance.
Approximately 70% of the role is spent in the yard and warehouse, allocating work, supervising standards, coaching staff and providing hands\-on support where needed. The remaining 30% is dedicated to planning, people administration, reporting and coordinating supplies and services.
Key Accountabilities \& Responsibilities.
Team Management \& Development
Review current and upcoming workload, staffing and priorities daily. Allocate and adjust work according to skills, capacity and deadlines, maintaining a safe, productive pace. Use spare capacity for advance picking, stock tasks, housekeeping and training. Lead through briefings, coaching, training and performance reviews. Manage absences and return\-to\-work interviews, involving the line manager and HR where needed. Manage annual leave and coordinate cover with other supervisors, maintaining sufficient staffing, skills, first aid and fire marshal cover.
Picking \& Despatch
Ensure accurate, timely order fulfilment across customer collections, company transport and couriers. Review delivery workload for the next two working days daily and pick available orders ahead wherever practical, considering stock availability, amendments and safe storage space. Raise constraints early and work with Sales, Transport and Inventory to resolve them. Personally spot\-check orders and inter\-branch transfers, uphold packaging and labelling standards, and ensure the team identifies discrepancies. Ensure collecting customers are acknowledged promptly and assisted safely and courteously, with delays explained and collection issues resolved or escalated.
Stock Management
Work with the Inventory Controller on cycle counts and discrepancies. Ensure planned and unplanned returns are checked, identified and stored appropriately, and findings passed promptly to the relevant salesperson. Review outstanding returns, follow up pending decisions and escalate delays to prevent avoidable build\-up. Ensure damaged and faulty stock is identified, stored appropriately and referred for action, with yard\-controlled processing and paperwork completed promptly. Maintain organised stock locations, effective storage and rotation to support efficient handling, maximise usable space and prevent loss or damage.
Yard \& Warehouse Premises
Maintain clean, tidy and safe working areas with waste removed promptly. Coordinate the premises maintenance plan with the Estate Manager, reporting defects and escalating work requiring specialist support to the Estate Manager or HSE Advisor.
HSE \& Compliance
Maintain day\-to\-day H\&S standards with the line manager and HSE Advisor, escalating matters beyond your authority or resources. Challenge unsafe behaviour, stop unsafe work, ensure incident and near\-miss reporting, and complete or escalate corrective actions. Complete HSE audits and oversee recorded equipment, first aid and fire checks and defect resolution. Coordinate servicing, LOLER examinations and racking inspections. Keep equipment training and authorisations current and remove unsafe equipment from use.
Office \& Administration
Prioritise operational tasks, maintain equipment asset records and coordinate packaging, PPE, uniforms and consumables within agreed budgets and purchasing procedures. Arrange waste disposal and reporting. Record yard and warehouse errors and other process issues identified and follow through on improvements.
Essential experience and knowledge
- Hands\-on yard or warehouse experience, with experience leading a team, allocating work, coaching staff and addressing performance issues.
- Understanding of safe yard operations, equipment checks, defect reporting and staff training requirements.
- Knowledge of picking, packaging, despatch and stock control, including cycle counts, returns and stock storage.
- Clear communication and fair, confident people management, including difficult conversations and working with other departments.
- Strong workload planning and delegation, anticipating demand, adjusting resources and balancing yard supervision with administration.
- Practical literacy, numeracy and IT skills to check orders, use operational systems, maintain records and monitor supplies and budgets.
- Attention to detail, ownership of mistakes and a practical approach to preventing recurring problems.
- A reliable, respectful approach that sets professional customer service standards and challenges unsafe working.
- Willingness to work outdoors in varying weather and ability to carry out the role’s hands\-on duties safely, with reasonable adjustments where needed.
- Relevant forklift training or licence, supervisory health and safety training, or leadership and warehouse management training.
