Ward Clerk
To provide a comprehensive and responsive administrative and clerical support service to one or more than one of the Trust’s Medical Wards
Working closely with nursing, medical, other clerical staff and outside agencies, to contribute to the maintenance and on\-going development of an effective and efficient ward clerk service for users of the Women’s Health Service, their relatives and visitors through the performance of key administrative and clerical tasks.

- To interpret basic clinical and non\-clinical data as required, inputting information into the IT systems including systems used for admission/ transfer/ discharge and coding.
- To be responsible for the maintenance of the ward’s administrative processes and systems, contributing to their on\-going development and improvement.
- To act as a super\-user for specified electronic databases and systems used within the Service as required (e.g. Patient Centre), training and supporting other users as necessary.
- To undertake accurate and timely data entry in order to support the provision of an efficient service, adhering to the Data Protection Act, Caldecott Guardian guidelines and patient confidentiality to ensure that accurate information is available to professional staff within the Service.
- To receive/welcome new patients onto the ward, checking particulars on their records and ensuring notes and necessary paperwork is collated and in order; ensuring identity bracelets are available for nursing staff; compiling sets of required blank documentation for emergency patients; informing the nurse in charge or deputy of any query new patients may have.
- To provide a front line information service, offering non\-clinical information, advice and guidance to members of the public, colleagues from external agencies (e.g.. general practitioners, health visitors and Social Services), nursing staff and colleagues from other departments in the Trust.
- To answer the telephone, responding to all straightforward and complex questions and requests. Some issues raised may be of a sensitive nature and require tact and empathy when responding. Based on their own knowledge, to assess when to personally answer the question or action the request and when to refer it to a more senior member of staff, ensuring the caller is informed of the action to be taken.
