Overview

The Purchaser is responsible for sourcing and purchasing goods, materials, and services required by the business. The role involves managing supplier relationships, negotiating pricing and delivery terms, ensuring stock availability, and supporting operational requirements while achieving best value for the Company.

Responsibilities:\-

  • Source and procure goods, materials, equipment and services in line with project, stock and wider business requirements.

  • Obtain, evaluate and negotiate supplier quotations, considering total cost, quality, lead time, availability and delivery risk rather than price alone.

  • Raise and manage purchase orders accurately and promptly, ensuring pricing, quantities, specifications and required delivery dates are clearly defined.

  • Maintain an accurate and up\-to\-date schedule of outstanding purchase orders, confirming delivery dates with suppliers and proactively progressing orders before they become overdue.

  • Provide clear visibility of upcoming deliveries, delays and supply risks to Operations, Engineering, Stores and relevant project teams.

  • Identify common requirements across multiple projects and consolidate purchasing wherever practical to secure volume pricing, reduce delivery costs and improve purchasing efficiency.

  • Work with Engineering, Operations and suppliers to identify frequently used components and establish standardised kits of parts for recurring project, production and service requirements.

  • Develop supplier\-held, call\-off or pre\-assembled kit arrangements where these provide a commercial or operational benefit to the business.

  • Liaise with suppliers to improve pricing, lead times, delivery performance, minimum\-order requirements and payment or commercial terms.

  • Monitor supplier performance against quality, cost, delivery and service expectations, escalating recurring issues and supporting corrective action where required.

  • Resolve shortages, late deliveries, incorrect goods, invoice discrepancies and other supply issues promptly to minimise disruption to projects and operations.

  • Review stock levels, usage patterns and forward project demand to help ensure critical and regularly used items are available when required, without creating unnecessary stockholding.

  • Identify alternative products and suppliers to reduce cost, manage lead\-time constraints and strengthen supply\-chain resilience, working with Engineering where technical approval is required.

  • Maintain accurate purchasing records, supplier information, pricing data, lead times and order status within the relevant business systems.

  • Develop and maintain preferred supplier arrangements for regularly purchased goods and services.

  • Identify and implement opportunities to improve purchasing processes, reduce administrative effort, eliminate repeat activity and deliver measurable cost or time savings.

  • Ensure purchases comply with company procedures, technical requirements, approval limits and budgetary controls.

  • Produce meaningful purchasing information and reports, including outstanding orders, overdue deliveries, supplier performance, cost savings and identified supply risks.

  • Support business continuity by identifying supply\-chain risks and putting appropriate alternative sourcing arrangements in place.

  • Negotiate improved supplier payment terms, credit limits, staged\-payment arrangements and other commercial conditions to support company and project cash flow.

  • Align supplier payment commitments with project programmes, customer payment milestones and forecast expenditure, working closely with Finance, Operations and Project Managers.

  • Avoid unnecessary advance payments and challenge supplier payment demands where more favourable terms could reasonably be secured.

  • Identify opportunities to use call\-off orders, scheduled deliveries, consolidated purchasing and supplier\-held stock to reduce early cash outlay while maintaining availability.

  • Consider cash\-flow impact alongside price, quality, lead time and delivery risk when evaluating quotations and recommending suppliers.

  • Provide early visibility of significant upcoming purchasing commitments, deposits and supplier payments to support company cash\-flow forecasting.

  • Monitor supplier deposits and advance payments, ensuring associated goods and deliverables are progressed and received in accordance with the agreed programme.

  • Identify and report measurable savings and cash\-flow improvements achieved through negotiation, purchasing consolidation, volume pricing and improved commercial terms.
