Transport and Port Operations Administration Assistant

Now we're seeking a structured and detail\-oriented individual to join our Transport and Port Operations team in this support role.
Job Summary:
This new position will ensure the accurate administration and communication of transport information between internal teams, depots, ports and hauliers, supporting the efficient execution of daily operations.
This is a busy department where accuracy, organisation and clear communication help ensure smooth operations and consistent service delivery. The role would suit someone who enjoys working in an operational environment, is highly organised and takes pride in delivering accurate and timely administrative support.
Some Key Responsibilities:
Transport Order Updates \& Communication
Accurately update transport order changes and ensure timely communication to all relevant stakeholders to support delivery schedules and operational efficiency.
Daily Operational Reporting
Maintain and update daily tracking spreadsheets with received and revised information, ensuring data accuracy and visibility.
SAP Data Management
Create and update freight orders and delivery notes in SAP, ensuring system information reflects current operational requirements.
Depot and Haulier Coordination
Liaise with depots and hauliers by phone and email to confirm instructions, communicate changes and resolve routine queries.
Issue Resolution and Administrative Support
Identify and address routine discrepancies in documentation or schedules, escalating where necessary, and provide general administrative support to the Transport team.
What We're Looking For:
- Previous experience in an office\-based administrative role, ideally within a transport, logistics or operations environment.
- Comfortable working in a structured, process\-driven setting with changing daily priorities.
- Organised, proactive and confident handling numerical information and operational data.
- A detail\-focused and solutions\-oriented approach to your work.
- Strong organisational skills with the ability to prioritise effectively.
- Confidence using MS Office, particularly Excel, to manage and update information.
- Strong communication skills and the ability to build effective working relationships with internal teams, depots and hauliers.
- Strong professional proficiency in English; experience using SAP or similar systems is advantageous but not essential.
This is a full\-time office\-based role, working from Monday to Friday, 40 hours per week.
