Job Summary
We are seeking an organised Transport Administrator to join our logistics company on a temporary, maternity cover basis for up to 12 months. This role sits within our busy finance team, reporting directly to the Finance \& HR Director. Your core focus will be the end\-to\-end management, reconciliation, and auditing of Proof of Delivery (POD) documentation, ensuring seamless billing cycles and robust dispute resolution. The role is office based, Full\-Time Mon\-Fri 9\.00am \- 5\.00pm.
Duties
- Proof of Delivery (POD) Management: Collect, check for accuracy, process, scan, and systematically file all physical and digital POD documents daily to maintain complete internal compliance.
- Dispute Resolution: Investigate missing, incomplete, or unsigned PODs by liaising closely with our carriers and customers to resolve discrepancies swiftly.
- Data Entry \& Systems Maintenance: Accurately update the Transport Management System (TMS) and internal databases to confirm completed deliveries, clear customer accounts, and unlock invoicing pipelines.
- Query Management \& Customer Service: Act as the primary point of contact for inbound customer service queries regarding delivery statuses, and formal POD requests, responding professionally and promptly.
- General Administration: Support the wider team with archiving, processing post, and maintaining records to ensure all data trails are fully audit\-ready.
- Industry Experience: Previous experience working in a similar administrative role within transport or logistics operations is required.
- Systems Knowledge: Proven experience working with Transportation Management Systems (TMS) is desirable.
- IT Skills: Proficient in Microsoft Office, Excel, and Outlook, with the ability to quickly learn new management systems. A core part of the role involves the use of a scanner and upload software, as well as retrieving PODs from external portals and uploading them where necessary.
- Attention to Detail: Strong attention to detail and thorough verification skills are essential; you must possess a high level of accuracy when checking data, cross\-referencing information, and handling legal transport documentation.
- Communication \& Relationship Building: Excellent communication and strong interpersonal skills to build positive, professional relationships with carriers, internal teams, and external customers.
- Time Management: Ability to multi\-task and meet daily administrative deadlines in a fast\-paced environment. Able to prioritise tasks appropriately depending on the situations that arise.
- Telephone Confidence: Excellent telephone skills, with the confidence to handle daily, direct interactions with carriers and customers professionally.
