We are now recruiting for a Talent Acquisition \& People Relations Coordinator, to coordinate the day\-to\-day delivery of recruitment activity across Gold Medal Travel Group, providing practical support to the People \& Culture Team, hiring managers and candidates throughout the end\-to\-end hiring process.

The role will spend approximately 70% of its time on talent acquisition coordination and 30% on general People \& Culture administration. It will ensure recruitment systems and records are accurate, candidate communication is timely and professional, and routine colleague administration is completed confidentially and efficiently.

Job Accountabilities

  • Talent Acquisition Coordination
+ Act as a first point of contact for routine recruitment queries from candidates and hiring managers, providing a responsive and helpful service.
+ Create and maintain vacancies within the applicant tracking system (eArcu), ensuring approvals, job details, candidate records and recruitment stages are complete and up to date.
+ Prepare and publish clear, accurate job advertisements across agreed internal and external channels and maintain internal vacancy communications.
+ Support application screening and longlisting activity against agreed criteria, escalating selection decisions to the Head of People \& Culture or hiring manager as appropriate.
+ Coordinate interviews, assessments and recruitment events, including diaries, rooms or virtual links, candidate instructions and assessment materials.
+ Manage timely candidate communications throughout the process, including acknowledgements, interview arrangements, updates and outcome notifications.
+ Prepare offer letters and pre\-employment documentation and coordinate references, right to work checks and other required screening in line with company procedures.
+ Work with relevant teams to support a smooth handover into onboarding and ensure new starter information is complete and issued on time.
+ Maintain the recruitment inbox, candidate talent pools and agency or job\-board administration, including referral scheme records and payment notifications.
+ Produce regular recruitment reports and trackers, including vacancy status, time to hire, source of hire, recruitment costs and candidate activity.
+ Support hiring managers in using the recruitment system effectively and identify practical opportunities to improve system use, data quality and the candidate journey.
+ Promote fair, consistent and inclusive recruitment practices and handle all candidate information securely and confidentially.
  • People \& Culture Administration
+ Maintain accurate colleague records and complete routine updates within the HR system and electronic files in accordance with data protection and retention requirements.
+ Prepare standard People \& Culture correspondence and documentation, using approved templates and escalating non\-routine matters appropriately.
+ Support the administration of new starters, contractual changes and leavers, liaising with Payroll and other internal teams where required.
+ Provide coordination and note\-taking support for People \& Culture meetings and routine employee relations administration when requested.
+ Assist with recurring People \& Culture activities, reporting and projects, including colleague engagement, wellbeing and recognition initiatives.
+ Provide general administrative cover across the People \& Culture team during busy periods and colleague absence.

To be considered for this role, we need you to have the following skills, experience and qualifications:

Qualifications

  • GCSEs or equivalent, including English and Maths.

  • CIPD Level 3 or another relevant HR qualification is desirable but not essential, a desire to work towards such a qualification is beneficial
Experience and knowledge
  • Previous experience in recruitment, HR administration or a busy coordination role; exposure to an in\-house recruitment or HR environment is desirable.

  • Experience of using an applicant tracking system, HR system or similar workflow platform and maintaining accurate electronic records.

  • Understanding of recruitment administration and pre\-employment processes, including right to work requirements, is desirable.

  • Good working knowledge of Microsoft 365, particularly Outlook, Word, Excel and Teams.
Skills
  • Excellent organisation skills, with the ability to manage competing priorities and meet deadlines in a fast\-paced environment.

  • Strong attention to detail and confidence working with data, systems and standard documentation.

  • Clear and professional written and verbal communication skills, with a candidate and customer\-focused approach.

  • Ability to build effective working relationships with colleagues, candidates and hiring managers at all levels.

  • Sound judgement when handling confidential and sensitive information.

  • A proactive, collaborative approach and willingness to learn, take ownership and suggest improvements.
