We are recruiting for a Support Assistant to join a high-profile public-sector organisation on an interim contract.
Key Details:
- Location: London Port Health Authority, London Gateway Logistics Centre, Stanford-le-Hope, Essex
- Contract: One month rolling contract
- Rate: £15.91 PAYE / £20.64 Umbrella per hour
- Hours:
– 08:00 – 16:15 (fully officed based shift)
– 10:15 – 18:30 (fully officed based shift)
– 13:45 – 22:00 (fully remote based shift)
- 1 weekend in 8 (Saturday and Sunday).
- Required to work 2 bank holidays per year.
To provide clerical and administrative support to Official Veterinarians and Port Health Officers and other staff. To work as one of the team of Support Assistants within the Port Health Service, in the provision of an effective, efficient and responsive service, following procedures using the full range of IS available.
Main Duties and Responsibilities:
- Carry out reception duties and act as 'first point of contact' for visitors to the office.
- Sorting, date stamping scanning all documents received and distribution post and documents received into the office and verify delivery of documents, parcels and other goods in accordance with office procedures.
- Provide clerical and administrative support to the field staff, as required.
- Arrange the collection of all samples on a daily basis that need to go to the labs, preparing for collection and liaising with the couriers.
- Use office equipment, including the postage franking machine, facsimile machine, scanner, photocopier and computer system to carry out the duties of the post.
- Answer all incoming calls and respond to telephone queries from a wide range of sources regarding the current status of imported food cargo and charging procedures, including passing calls on to the relevant staff.
- Under the direction of the Port Health Officers, or Port Health Technical Officers, carry out documentary checking with regard to consignments of imported food (not of animal origin), and maintaining all necessary electronic and paper-based records.
- Input data into internal and external database systems (e.g. PHILIS or IPAFFS systems) and carry out general internal database maintenance e.g. modifying tables, queries and reports.
- Maintain and update electronic and paper-based filing and record systems including the equipment inventory. Assist with the archiving of items, and deal with confidential documents appropriately.
- Under the direction of Official Veterinarians or Port Health Officers, record Products of Animal Origin and other imported food consignments on the computerised cargo handling system and port manifesting systems.
- Process cleared CHED documentation in accordance with internal procedures in order that holds on electronic cargo handling systems can be released and the follow–up actions can take place such as document stamping, copying them for official bodies and ensuring they are sent to the correct destinations.
- Assists with general housekeeping duties such as defrosting/cleaning food sample storage refrigerators and freezers and maintaining tidiness in office and storerooms.
- No public transport links; will need your own transport and a full driving licence.
