We are looking for a highly capable and proactive Strategic Executive Assistant to work directly alongside our Founder and Managing Director. This is a key position within a small, close-knit office where professionalism, discretion, organisation, and exceptional client care are essential.

The successful candidate will become a trusted right-hand support to the MD, helping manage day-to-day operations, client communications, and strategic priorities while ensuring the smooth running of the business.

The Role

This is far more than a traditional administrative role. We are seeking someone who can think ahead, anticipate needs, manage competing priorities, and communicate confidently with clients and professional contacts on behalf of the business.

You will play a central role in maintaining the high standards of client service and organisation that Trentham Invest is known for.

Key Responsibilities:

Executive & Diary Management

  • Full management of the MD’s complex diary, appointments, and scheduling

  • Coordinating meetings, client appointments, and follow-up actions

  • Managing incoming calls, emails, and correspondence on behalf of the MD

  • Preparing meeting documentation, reports, and presentation materials

  • Supporting the MD with strategic priorities and business projects

  • Client Communication & Relationship Management

  • Acting as a professional first point of contact for clients

  • Managing client communications via email, telephone, and written correspondence

  • Liaising with providers, solicitors, accountants, and other professional connections

  • Ensuring clients receive a warm, responsive, and highly professional experience

  • Supporting client onboarding and maintaining accurate client records

Office & Operational Support
  • Assisting with the smooth day-to-day running of a busy financial advisory office

  • Supporting administrative and compliance processes

  • Maintaining filing systems, databases, and confidential documentation

  • Monitoring workflows and ensuring tasks are completed efficiently

  • Identifying opportunities to improve processes and office organisation

About You:

You will be highly organised, detail-oriented, and naturally proactive, with the confidence to manage responsibilities independently in a small business environment.

You will ideally have:

  • Previous experience as an Executive Assistant, Personal Assistant, or senior administrator

  • Excellent written and verbal communication skills

  • Strong diary and inbox management experience

  • A polished and professional manner with clients

  • Exceptional organisational and multitasking abilities

  • High levels of discretion and confidentiality

  • Strong Microsoft Office and administrative system skills

  • Experience within financial services, wealth management, or professional services (preferred)
