Site Administrator

We are seeking a highly organised and proactive Site Administrator to support the delivery of a large\-scale. The successful candidate will play a key role in coordinating site administration, resident communications, document control, compliance tracking, and day\-to\-day operational support across the project team.
This role requires excellent organisational skills, strong communication abilities, and confidence in handling multiple tasks within a fast\-paced construction environment.
Key Responsibilities
Project \& Site Administration
- Maintain and organise all project documentation and site records.
- Manage digital filing systems and ensure documentation is up to date and compliant.
- Assist the Project Manager and Site Management Team with daily administrative tasks.
- Prepare meeting minutes, trackers, reports, and correspondence.
- Coordinate subcontractor documentation, permits, RAMS, and certifications.
- Contact and coordinate with residents regarding planned remedial works.
- Schedule access appointments and maintain communication logs.
- Respond professionally to resident queries and concerns.
- Issue notices, letters, and updates relating to site activities.
- Use Procore for document management, RFIs, Submittals, drawings, site records, and project coordination.
- Use Chime or internal systems for workforce coordination, attendance, and communication tracking.
- Maintain trackers for progress, inspections, defects, and compliance documentation.
- Upload and manage photographs, reports, inspection records, and handover documents.
- Attend and assist with site walks and inspections.
- Support coordination between site teams, subcontractors, consultants, and residents.
- Monitor site notices, welfare requirements, and administrative compliance.
- Assist in tracking programme milestones and daily site activities.
- Assist in compiling O\&M manuals, fire certification records, and handover documentation.
- Ensure records are maintained in accordance with company and regulatory requirements.
- Support quality assurance and document control procedures.
Essential
- Previous experience in a construction administration or site administration role.
- Strong organisational and multitasking skills.
- Safe Pass
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Excel, Word, Outlook, MS Project).
- Ability to work independently and within a team environment.
- Strong attention to detail and document control capability.
- Experience using Procore and Chime.
- Experience working on residential, remedial, or fire upgrade projects.
- Driving License
- Knowledge of construction documentation and compliance processes.
- Experience liaising with residents or clients in occupied buildings.
- Professional and approachable manner.
- Strong problem\-solving ability.
- Ability to prioritise workload and meet deadlines.
- Confident communicator with good interpersonal skills.
