We are an established business based in Crossakiel, Kells, Co. Meath, with a busy supply\-chain and logistics operation. It is seeking an organised Shipping \& Logistics Coordinator to help plan raw\-material intake, deliveries and transport accurately and efficiently.
About the Role
The Shipping \& Logistics Coordinator will manage day\-to\-day inbound and outbound logistics, including transport bookings, raw\-material intake, delivery scheduling, pricing administration and accurate record\-keeping. Working with suppliers, hauliers, customers and internal teams, the successful person will keep goods moving smoothly and resolve issues promptly.
Role focus: Coordinate inbound raw materials and outbound deliveries, maintaining accurate records, pricing information and clear communication throughout.
Key Responsibilities
· Logistics and Transport Coordination
· Plan and book inbound collections and outbound deliveries in line with business requirements.
· Liaise with suppliers, hauliers, couriers, customers and internal teams to agree schedules and delivery arrangements.
· Confirm delivery windows, load details, vehicle requirements and site access information before transport is booked.
· Track collections and deliveries, provide timely updates and respond quickly to delays or changes.
· Investigate missed collections, shortages, damaged goods and delivery discrepancies, coordinating practical solutions.
· Review daily and weekly schedules, prioritising urgent requirements and making efficient use of available transport.
Raw Materials and Stock Intake
· Arrange supplier deliveries and coordinate the intake of raw materials at the site.
· Confirm expected quantities, delivery dates and relevant purchase\-order or reference details in advance.
· Coordinate with warehouse and operations colleagues to ensure suitable space and resources are available for incoming materials.
· Ensure delivery dockets, receiving records and supporting certificates are available and completed where required.
· Record materials received and promptly report shortages, damage or other discrepancies.
· Support accurate stock records and flag any supply issues that could affect planned operations or customer deliveries.
Pricing and Cost Administration
· Request and compare freight, haulage and delivery quotations to support cost\-effective transport decisions.
· Maintain accurate and up\-to\-date price lists, transport rates and supplier information.
· Confirm agreed rates and service details before bookings are finalised.
· Monitor transport costs and flag unexpected charges, pricing changes or cost variances to management.
· Prepare clear cost comparisons and pricing updates when required.
Shipping Documentation and Administration
· Prepare and check transport bookings, delivery notes, dispatch documents, manifests and related paperwork.
· Maintain organised electronic and paper records for shipments, deliveries, raw\-material intake and transport costs.
· Update logistics, stock\-management or order systems accurately and promptly.
· Keep supplier, customer and haulier contact and service information current.
· Prepare regular updates on outstanding deliveries, lead times, transport costs and operational issues.
Experience and Skills
· Previous experience in shipping, logistics, transport coordination, supply\-chain administration or a similar role.
· Practical experience arranging collections and deliveries and liaising with suppliers and hauliers.
· Comfortable requesting quotations, comparing rates and maintaining accurate pricing information.
· Experience coordinating raw\-material or stock intake would be a strong advantage.
· Confident using Microsoft Excel, email and logistics, stock\-management, order\-processing or accounting software.
· Strong organisational skills and attention to detail, with the ability to manage competing priorities and deadlines.
· Clear communication and problem\-solving skills, with a practical approach to resolving delivery and supply issues.
· Experience in a wholesale, distribution, manufacturing or warehouse environment would be beneficial, but is not essential.
